Role Description 

This is a full-time on-site role as an Operations Executive Assistant at Earthscapes, and is intended to support the team and current existing processes. As the Operations Executive Assistant, you will report directly to the COO and be responsible for supporting daily operations, coordinating schedules, managing communications, and handling administrative tasks to ensure smooth business operations.  

Qualifications 

Strong organizational skills  

Excellent communication and interpersonal abilities 

Proficiency in office software and basic accounting principles 

Ability to work effectively in a fast-paced environment 

Flexible and adaptable depending on business needs 

Responsibilities 

• Gather and provide information regarding the installation schedule and maintenance schedule. 
• Invoicing 
• Scheduling 
• Support COO and CEO project initiatives and various continuous improvement projects 
• Back-up support to Design Operations 
• Ensure all office supplies are available 
• Coordinate office celebrations 
• Answer phones and route appropriately 
• Provide updates to COO on all installation issues and schedule changes
• Contact homeowners and keep them up to date on the Installation schedule 
• Coordinate with the subcontractors on schedule 
• Maintain and update CEO and COO’s calendar
