Executive Assistant to Chief Medical Officer & President
Job Overview
We are seeking an exceptionally organized and proactive Executive Assistant who excels in high-energy environments. This role transcends traditional administrative duties, focusing on cultivating a partnership between the executive and assistant that is grounded in collaboration and trust, ultimately aiding the organization’s overall success.
As an Executive Assistant, you will report to the Chief of Staff and be integral in ensuring seamless daily operations for both the Chief Medical Officer (CMO) and President. This position encompasses a variety of responsibilities including managing schedules, facilitating communications, and executing administrative tasks while contributing to strategic problem-solving and decision-making.
Key Responsibilities
- Act as a primary liaison between the CMO, President, and internal teams, nurturing strong relational dynamics.
- Support the prioritization of tasks, offer assistance in decision-making, and engage in problem-solving as a reliable advisor.
- Attend meetings, document detailed notes, and ensure timely follow-up on key outcomes and action items.
- Utilize Jira to manage and track tasks, aiding the CMO and President in monitoring progress on projects.
- Oversee communications by drafting correspondence, managing inboxes, and scheduling calls for the CMO and President.
- Prepare comprehensive reports and presentations, providing insightful recommendations to guide strategic initiatives.
- Coordinate travel arrangements, including booking flights, accommodations, and transportation, while managing detailed itineraries.
- Organize and maintain electronic files and records, ensuring accessibility and up-to-date information.
- Manage the executive calendar with foresight, prioritizing appointments and adjusting schedules proactively.
Required Skills
- Minimum of 5 years of experience as an Executive Assistant supporting senior leadership.
- Bachelor’s degree preferred, though not mandatory.
- Proficient in Microsoft Office and Google Suite.
- A creative thinker with the ability to propose innovative solutions to challenges.
- Outstanding organizational and multitasking skills.
- Excellent written, verbal, and interpersonal communication capabilities.
- Strong discretion and confidentiality in handling sensitive information.
- An independent and proactive worker who thrives in a remote work setting.
- High attention to detail, especially in managing intricate calendars and shifting priorities.

Compensation And Benefits
- Job Type: Full-time
- Salary: $65,000/year
- Schedule: Monday to Friday, 8-hour shift, during daytime hours (weekends off)
- Location: In-person, Palm Desert, CA (Relocation required)
