Tumor Registrar identifies, registers, and maintains records of all cancer patients using tumor registry systems and software. Prepares abstracts and performs coding of clinical patient data related to cancer. Being a Tumor Registrar performs data analysis and provides reports used by researchers, physicians, institutions, and patients. Adheres to all coding and privacy policies, guidelines, and regulations. Additionally, Tumor Registrar may require an associate degree or equivalent. Requires Certified Tumor Registrar (CTR) credential. May require Registered Health Information Technician (RHIT) certification. Typically reports to a supervisor or manager. The Tumor Registrar works independently within established procedures associated with the specific job function. Has gained proficiency in multiple competencies relevant to the job.     We are currently looking for a full-time Associate Registrar. The Associate Registrar works under the direction of the University Registrar to assist in the maintenance of the official student records in accordance with the college and accreditation standards. The Associate Registrar also assists with all processes and procedures related to preparing official reports related to enrollment to include IPEDS, KPEDS, KCPE, and SACSCOC statistical reports.
    Responsibilities of the position include:
    • Responsible for entry, maintenance, and accuracy of student enrollment records.
    • Complies with the Family Educational Rights and Privacy Act (FERPA) and other applicable laws and regulations to ensure the integrity of student academic records.
    • Collaborates with campus academic services offices to ensure campus compliance with academic policies and regulations related to academic records through the facilitation of questions and providing policy guidance.
    • Audits and adjusts academic degree progress audits.
    • Assists the Registrar with activation for each academic term by running and sorting targeted reports and tasks as requested.
    • Completes transfer credit evaluations, which includes re-evaluation requests, transfer credit entry, approved by-pass and PLA credit entry and fielding calls and emails regarding transfer credit.
    • Assists Student Records Coordinator with historical records issues and any needed electronic updates. Conducts research within multiple databases and submits recommended corrections to the Registrar for review.
    • Ensures respective students, in collaboration with the Registrar, are placed in the correct program versions in the student information system (SIS) as a result of curriculum changes.
    • Routes and enters approved course substitution forms.
    • Assists the Registrar with assigned tasks for institutional reporting (programmatic, federal and state) through research and assistance with issues found during institutional reporting in order for the Registrar to update data.
    • Facilitates various quarterly Office of the Registrar (OTR) duties associated with graduation which includes, but not limited to, degree completion affirmation, GPA calculation review, declaration of honors, disseminates graduation instructions and information to graduates, generates the numbered graduate line-up for each ceremony, provides student listings (degree name, degree level and honors) information for the ceremonial program, orders and reviews all diplomas and facilitates the dissemination of undergraduate diplomas after the ceremony.
    • Requisitions and keeps inventory of all supplies and forms and performs ad hoc duties as needed for the daily function of the Office of the Registrar and to facilitate graduation.
    • Recommends updates for the Office of the Registrar’s standard operating procedures.
    • Assists students, faculty, and staff and answers phones.
    • Performs other duties as assigned.
    Requirements of the position include:
    • Minimum of an Associate Degree in related field.
    • Three years related work experience.
    • An equivalent combination of education and work experience may be considered.
    • Detail – oriented.
    • Proficiency in Microsoft Word, Excel and Outlook and CampusNexus with the ability to produce computer generated reports.
    • Ability to read and interpret documents, ability to write routine reports and correspondence.
    • Strong technical and analytical skills.
    • Excellent written and verbal communication skills.
    • Ability to maintain concentration and attention to detail when working for extended periods of time.
    • Ability to sit for extended periods of time.
    • Must be able to hear and speak well enough to communicate with students, faculty and staff face to face and via the telephone.
