Job Summary
The Registrar is a highly motivated and organized professional responsible for managing all aspects of the College’s student records in all formats, as well as key components of the student information system (Banner). This position collaborates with the Academic Records Office team to support and manage registration, graduation, course and classroom scheduling, and transfer credits, ensuring alignment with academic policies and in coordination with Academic Affairs. The Registrar ensures the smooth operation of academic and administrative functions, creating a positive and efficient environment for students, faculty, and staff while also handling data submissions to external bodies to maintain compliance with various reporting requirements, demonstrating a strong commitment to detail and a passion for education.
Responsibilities
- Manage Student Registration and Enrollment Processes: Oversee the administration of student registration, enrollment, and course scheduling via Ellucian Banner.
- Maintain and Update Academic Records: Ensure that all student academic records, including grades, transcripts, and diplomas, are accurate and up-to-date, maintaining data integrity across student information platforms, leveraging technology for efficiencies and security, and monitoring/reporting student academic progress. Function as the data steward of all student data within the SIS(Student Information System).
- Oversee Course Scheduling and Room Assignments: Coordinate with faculty and staff to create and manage course schedules and academic room assignments.
- Ensure Compliance with Academic Policies and Regulations: Implement and enforce academic policies and procedures, collaborating with other offices and committees as changes move through systems. Assist in the development and revision of academic policies.
- Coordinate Registrar Activities Across Departments: Collaborate with various programs, departments, and staff to ensure that student records activities align with policies, procedures, and specifications.
- Oversee Processes for Requests for Transcripts and Verify Graduation Requirements: Handle academic transcript requests and verify fulfillment of graduation requirements.
- Oversee the Preparation and Publication of Course Catalogs, Schedules and Calendars: Manage the planning and implementation of the College’s catalog, schedules, and calendars to meet all required standards.
- Ensure Confidentiality and Security of Student Records: Maintain the confidentiality and security of student records in accordance with federal laws and institutional policies; serve as the College’s FERPA expert.
- Assist with Graduation Ceremonies: Manage data exchanges and academic processes associated with each commencement ceremony.
- Direct Documentation Maintenance and Report Preparation: Manage the organization of a wide range of documentation and records, preparing reports for both internal and external entities. Function as back-up for VA School Certifying Official.
- Provide Records Assistance to External Agencies: Support federal and other official agencies (ie. VA, NSLDS) with records assistance and required documentation.
- Training and Development: Ensure continuous improvement and cross-training of office staff.
- Resolve Discrepancies and Procedural Issues: Address procedural problems and discrepancies and respond to program administration questions, ensuring necessary follow-up actions.
Qualifications
Education: Bachelor’s degree. Preferred, master’s degree.
Experience: 3-5 years of experience in academic records or education, post secondary education preferred. Experience with Academic Records preferred.
Skills: Strong organizational and time management skills, excellent interpersonal and communication skills, ability to maintain confidentiality and handle sensitive information, strong problem-solving and analytical skills.
Knowledge: Knowledge of accreditation requirements and processes, student information systems, and database management. Excel, Banner, Cognos, Salesforce, Brightspace, etc.
