Greet and liaise all visitors and incoming calls by:

• Answer multiple incoming phone lines, and screen, assist, and refer all incoming calls, as well as taking messages and transferring to voicemail as necessary.
• Responsible for maintaining a clean and orderly reception work area.
• Ensure security and GMP procedures are followed by requiring visitors sign in at the front desk, as well as maintaining the badge log and other required forms.

Follow through the administration of mail and couriers:

• Open, date stamp all incoming mail and distribute to correct inbox.
• Handle courier shipments and customs preparations for sample shipments.
• Bundle all outgoing US mail for pick up, fill out Waybill forms when necessary.
• Handle courier shipments and customs preparations for office, including Federal Express, Carson’s Broker, and White Rock Courier.

Assure adequate inventory levels for office supplies and other IFS non-stock items and ensure office equipment works properly by:

• Call for repairs or maintenance for all printers and fax machines in Blaine plant
• Order all stationery and office supplies, pens, toners, cartridges etc. as needed

Support the administration of events, meetings, or celebrations by:

• Order in-house catering for events and/or meetings as requested.
• Order and distribute gift certificates for Length of Service Award employee recipients and the carpool program.
• Support monthly birthday celebrations by posting announcements and ordering cakes.
• Manage funds in the employee fund and petty cash in a responsible and ethical manner.

Other essential tasks:

• Acting as a liaison for uniform, janitorial, copier, vending, IT, telephone, and lawn services, including correspondence and assisting with meeting preparation
• Petty cash and employee fund reconciliation.
• Credit card reconciliation for Plant Manager and HR Manger
• Responsible for booking travel as needed for team members.
• Managing employee lockers
• Maintaining employee store inventory ordering and stocking.
• Supporting the HR team with projects as required

 Shift: Monday-Friday 7:00am-3:00pm

 Wage: $22/hr $1.50/hr shift differential between 6PM - 6:00AM

Other requirements:

• Willingness to complete an online assessment test.
