We are currently seeking a highly organized and proactive Project Administrator to manage and support various operational aspects of our projects, including crew scheduling, fleet maintenance, and warehouse inventory management.
Job Summary:
The Project Administrator will be responsible for ensuring the smooth operation and coordination of multiple projects by managing the execution of all projects, schedules, overseeing fleet maintenance, and maintaining warehouse inventory. This role involves collaborating with General Manger, field teams, and internal departments to ensure the efficient execution of tasks and resources to meet project deadlines.
Key Responsibilities:
Project Management:

Coordination of project timelines, budgets, and resources.

Monitor project progress, ensuring that milestones and deadlines are met.

Communicate project updates to team members and stakeholders.

Maintain and update project documentation, including reports, schedules, and records.

Reading and understanding bid documents (construction drawings, specifications and submittal requirements)
Crew Scheduling & Coordination:

Maintain crew schedules based on project requirements and availability.

Ensure that team members are assigned to appropriate tasks, and any staffing issues are addressed promptly.

Coordinate with HR or staffing departments to ensure adequate crew for each project.

Track crew attendance and performance, ensuring that labor resources are optimized for project success.
Fleet Maintenance Management:

Oversee the maintenance and repair schedules for company fleet and equipment.

Track and manage vehicle inspections, servicing, and repairs.

Maintain fleet records and ensure compliance with safety regulations and company policies.

Ensure that fleet assets are available and in good working condition to support project needs.
Warehouse Inventory Management:

Monitor and manage inventory levels of project materials, tools, and supplies.

Coordinate with the procurement department to ensure timely delivery of materials and equipment to project sites.

Track and maintain accurate inventory records and usage reports.

Organize warehouse storage to optimize space and ensure easy access to materials.

Assist with procurement processes, including sourcing materials and equipment as needed

Qualifications:
-
Proven experience as a Project Administrator, Project Manager, Project Coordinator, or similar role in a related industry.

Proven experience in reading and understanding bid documents (construction drawings, specifications and submittal requirements)

Strong organizational and time-management skills, with the ability to prioritize tasks and manage multiple projects simultaneously.

Experience in managing crew schedules, fleet maintenance, and inventory management.

Proficient in Microsoft Office Suite (Excel, Word, PowerPoint) and project management software. Proficient in google drive and google docs, writing excel formulas.

Strong communication skills, both written and verbal.

Ability to work effectively in a fast-paced, dynamic environment.

Problem-solving skills with a proactive and solution-oriented approach.

Knowledge of OSHA safety regulations and best practices related to fleet and warehouse management is a plus.
Preferred Skills:

Experience with project management tools (e.g., Microsoft Project, Asana, Trello, etc.).

Lean Six Sigma Certification (preferred)
