Position Summary: The Event Planner’s primary role will be to execute various logistics required to plan our annual convention, annual presenter retreats, monthly Younified events, monthly training events, and our annual incentive trips. In addition, the Event Planner will utilize strong organizational skills and be able to work cross-functionally with other departments and outside vendors to execute the events. The successful candidate will have a background in event planning that includes management of multiple tasks simultaneously, a track record for meeting deadlines and staying on budget, and excellent intercommunication skills.
Roles & Responsibilities:
- Manage all aspects of smaller, regional events from initial concept and planning to post event analytics and communications, includes managing food and beverage, audio visual, and swag and signage orders.
- Manage areas of our Americas and European Conventions potentially including coordinating breakout sessions, registration, swag store, etc.
- Work cross functionally with other departments to execute multiple deliverables for events (event content, communications strategy, signage designs, etc.)
- Manage the RFP process, presenting top options and negotiating and booking venue contracts.
- Assist with the creation of agendas and manage show flow for training events, including some virtual trainings.
- Communicate with all stakeholders and attendees on details of events.
- Work with other teams to strategize on how to boost registration and market events.
- Working closely with the Recognition team to create sales opportunities for the sales field and recognize them for their accomplishments. It also requires working closely with the marketing, product, and sales team to ensure that products are marketed to the field and attended successfully.
- Manage and run additional events as needed, must be flexible on changing roles and responsibilities based on needs from the events team.
Qualifications
Knowledge & Skills Required:
- Excellent verbal and written communications skills.
- Excellent relationship building and negotiating skills.
- Experience in executing various corporate events.
- Ability to work collaboratively with functional peers across departments.
- Prior experience with managing budgets for events.
- Knowledge of registration platforms, (experience with Cvent is a bonus!)
Education & Experience:
- A minimum of 3 years of event planning experience is required, preferably in direct sales.
- A Bachelor of Arts or Science Degree is required or equivalent experience.
- Must be willing to travel to our Americas and European Conventions along with other market events.
- Demonstrated ability to have successfully completed multiple, complex, multi-faceted events.
- Savvy with all aspects of running a large event including registration, shipping, communications, general session, breakouts, budgeting, food and beverage, and AV.
- Proficient in contract negotiations and have a good understanding of venue/hotel concessions.
- Comfortable working with Executives and Presenters on key roles for events.
- Extremely organized and focused on meeting event deadlines.
- Creative and strategic and have the ability to assist with event content and messaging.
- Self-starter and passionate about events and flawless execution.
