JOB PURPOSE : The Executive Assistant provides administrative services under the direction of and reporting to the President.
This position relieves the President of administrative type functions to increase the time the executive has available for executive level responsibilities. The Executive Assistant will be responsible for confidential and time sensitive materials as well as a wide variety of situations involving administrative functions of the office. Responsibilities consist of preparing routine and advanced correspondence including letters, memoranda, and reports.
Additionally, this position provides support to the financial department primarily in the processing of the accounts payable, accounts receivable and human resources.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
QUALIFICATION REQUIREMENTS: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.
EDUCATION and/or EXPERIENCE: Requires education generally equivalent to a bachelor of science degree in business administration or a business related field and 3 to 5 years related experience in business related activities. Applicants must be familiar with a variety of the field's concepts, practices, and procedures. Relies on experience and judgment to plan and accomplish goals. A wide degree of creativity is expected.
LANGUAGE SKILLS: Requires excellent oral and written communication skills. Ability to read and interpret documents such as correspondence, manuals, reports, and legal documents. Ability to write reports and executive correspondence with correct spelling and appropriate grammar. Ability to speak effectively to employees, vendors and other professional associates.
MATHEMATICAL SKILLS: Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to make calculations, maintain and interpret a variety of reports used by the President.
REASONING ABILITY: Ability to apply common sense in carrying out instructions furnished in written and oral form. Capability to deal with and problem solve utilizing good judgment in maintaining confidential information.
OTHER SKILLS and ABILITIES: Applicants must have the capability to use a personal computer and have working experience with word processing, spreadsheets, email, personal organizing, network and business related software. Ability to multi-task and complete tasks in order of necessity and priority. The employee must also be capable to operate a variety of office equipment such as a computer, telephone, calculator, photocopier and facsimile machine.
