Key Responsibilities
As an Office Administrator at InSchoolMedia, your primary responsibilities will include:
- Office Management: Oversee day-to-day office operations, ensuring a well-organised and efficient working environment.
- Diary Management: Maintain and coordinate schedules for senior management, as well as managing the billboard bookings.
- Client Communication: Serve as client communication as needed, especially fielding information requests for clients and answering any questions they may have.
- Invoicing: Manage invoicing processes, ensuring accuracy and timeliness in billing and payments.
- General PA Duties: Provide personal assistant support to the director, including travel arrangements, meeting preparation, and administrative tasks.
- Spreadsheet Management: Create, update, and manage spreadsheets to track and analyse data relevant to business operations.
- Document Management: Organise and maintain company documents, ensuring accessibility and compliance with data management policies.
Key Skills and Qualifications
The ideal candidate will possess the following skills and qualifications:
- Time Management: Strong organisational skills with the ability to prioritise tasks and manage multiple responsibilities effectively.
- Diary Management: Proven experience in managing executive diaries and scheduling appointments efficiently.
- Communication Skills: Excellent verbal and written communication skills, with a professional and approachable demeanour.
- Excel Proficiency: Competency in Microsoft Excel, with the ability to create and manage spreadsheets for various business purposes.
- CRM Knowledge: Familiarity with Monday Board or similar CRM systems, with the ability to manage client and project information effectively.
- Document Management: Ability to organise, store, and retrieve documents efficiently, ensuring confidentiality and compliance with data policies.
Preferred Qualifications
- Previous experience in a similar administrative or office management role.
- Knowledge of basic accounting practices related to invoicing and billing.
- Ability to work independently and as part of a team.
