This is an exciting, rewarding and wide-ranging role. As the Administrative Assistant, you will provide a professional and high-quality support service to the Executive Personal Assistant and Group CEO of YTL Utilities UK, based in Bath.
You will be responsible for ensuring the wider Group Directors are fully supported with organisation and administrative assistance. The successful candidate will also provide full holiday and sickness cover for the Executive Personal Assistant.
What you'll do
In this role, you will:
- provide effective, efficient, responsive and confidential administrative support to ensure the smooth running of the Group office.
- cover periods of absence which will include:
- day-to-day management of the Group CEO's diary and meeting schedule, including taking dictation by telephone, replying to emails and correspondence, and planning and scheduling meetings, conferences and travel
- prioritising and managing communications and dealing with urgent issues on behalf of the CEO in his absence
- welcoming visitors by greeting them in person or by phone, and answering or directing enquiries
- support the Group Director of Health and Safety and their team with the preparation of papers and presentations for the Board, Committees and other meetings, while also supporting with diary management, arranging meetings, hotel booking and transport arrangements
- provide admin support to the Group Director of Communication and Community, including being a point of contact, making meeting arrangements, inputting expenses and other general admin duties as and when required
- manage various ad-hoc duties within the business for the Group CEO when required.
What you'll need
The knowledge, skills and experience needed in this role are:
- secretarial experience working in a support role with senior management and senior-level clients, preferably at a Board level and with a good command of English
- highly proficient in all Microsoft packages, including Outlook, Word, Excel, Email and PowerPoint, as well as knowledge of Teams and SharePoint
- time management and managing tight deadlines, prioritisation and multitasking
- good logistical skills and a reliable, flexible approach to working at a high level
- managing conflicting priorities and timings to ensure tasks are organised and completed in a timely manner
- diplomatic judgement and decision-making using own initiative
- a high level of personal organisation, self-management and proactive skills
