What You Will Do As the Office Coordinator for the Portland Viewpoint offices, you will: Relieve and answer Reception/main phone line Monitor office supply levels and re-stock upon delivery Assist with onboarding/offboarding for new employees, access cards, etc. Assist with executive admin support Assist with coordinating staff & client meetings; food orders, set-up and presentation needs Assist with receiving incoming package deliveries, mail, outgoing FedEx packages Help in keeping kitchen and office areas tidy. This includes kitchen sink, counters, cupboards, dishwasher, conference rooms, common areas Be required to know about all authorized vendors for deliveries and access Report any facilities-related issues to Facilities Manager Work directly & takes direction from the Facilities Manager Maintain filing and tracking system for Facilities contracts, Insurance & Leases Process invoices, create purchase orders and checks received Maintain printers paper supplies at each location and address issues as needed Assist with company Safety Committee, Sustainability committee and others Handle Parking process for Portland office locations Maintain up to date contracts with vendors. What Skills & Experience You Should Bring A minimum of one-year experience in a busy office setting Experience using Google products. Gmail, Hangouts, etc. Ability to effectively respond to and interact with all levels of organizational staff Excellent interpersonal skills Ability to prioritize multiple tasks and adhere to deadlines Strong teamwork and collaboration Able to physically lift 25 pounds without assistance Ability to setup catering and meeting events Able to be on feet for extended periods while walking around the buildings Committed to providing excellent customer service to all employees Good communication and organization skills Great customer services skills Proactive, detail oriented, flexible & professional About Your Location Under a flexible work arrangement (hybrid), this resource primarily supports the Trimble Viewpoint Sector and works collaboratively across the Viewpoint teams. In a hybrid role, you will work with your manager to establish a mutually agreeable schedule for your time working in the office based on the position and the business need. Typically hybrid positions are 1-3 days per week, or 20%-60% of the month in the office.
