JOB DESCRIPTION Receptionist Summary The Receptionist is responsible for all reception area duties including receiving visitors, routing calls, and performing a variety of tasks to facilitate administrative support to various departments. This position also manages mail services and office supplies purchasing and inventory control. The Receptionist is the “voice of the company” and will be professional, welcoming, courteous, efficient, reliable, and service-oriented. Essential Duties & Responsibilities Greet and assist customers, vendors, and visitors. Route incoming calls. Responsible for ensuring continuous coverage of the Reception area during breaks and absences by working with designated employees to plan coverage schedules. Process incoming and outgoing mail and receive deliveries. Coordinate catering services for meetings. Manage ordering and provision of office and break-room supplies and inventory maintenance and maintain related tracking systems and metrics. Provides administrative support on a variety of projects and tasks that may include such activities as collating customer mailings, distributing checks, collecting and organizing forms, tracking information, entering data into spreadsheets or databases, and other clerical duties as may be assigned. Competencies Strong customer-service orientation and interpersonal communication skills. Professional personal appearance, pleasant phone manners, and ability to deal positively and constructively with callers, customers, visitors, and employees. Consistently at work and on time, follows instructions, responds to management direction and solicits feedback to improve performance. Demonstrates professionalism, discretion, and good judgment in all interactions with co-workers, customers, vendors and others. Well-organized, self-directed team player. Remains open to others’ ideas, and exhibits willingness to try new things. Prioritizes and plans work activities, uses time efficiently and develops realistic action plans. Demonstrates accuracy, thoroughness, and monitors own work to ensure quality, presents information effectively, and is able to read and interpret written information. Adapts to changes in the work environment, manages competing demands and is able to deal with frequent change, delays or unexpected events. Qualifications Required: a minimum of two years of receptionist and clerical support experience. Skilled in G Suite, Google programs. Willing and able to learn new software applications as needed. Demonstrated excellent attendance record in past positions. Strong math and analytical skills. Excellent verbal and written communication skills including spelling, punctuation and grammar. Strong multi-tasking abilities and attention to detail. Able to work independently and manage time appropriately. Working Conditions Work takes place in an office setting. This is a coverage position that requires the ability to be consistently present at the work site and to work a full-time schedule. It requires the ability to sit and work at a keyboard for extended periods and communicate effectively with customers, visitors, and employees in person and by phone and computer.
