GENERAL PURPOSE OF JOB: Conducts the business affairs of the department within the limits of his/her scope of authority set forth by this job description. She/he will be responsible for assigning tasks and addressing problems to insure the office operations run smoothly. Responsible for directing the ongoing operations of the physician/provider practices and supervising the activities of all clinical and non-clinical staff supporting the practice. Incumbent has managerial responsibilities over multiple physician/provider practices operated by DCH. ESSENTIAL DUTIES AND RESPONSIBILITIES:T :•Maintains utmost level of confidentiality at all times. Adheres to hospital and health plan policies and procedures. Demonstrates business practices and personal actions that are ethical and adhere to corporate compliance and integrity guidelines. •Oversight and supervision of personnel. •Responsible for keeping all aspects of a physician’s practice functional – i.e., answering service, call schedule, supply inventories (office & medical), physician’s licenses, medical record forms/documentation/confidentiality, patient information forms, call coverage, contract services, waste management, prescription services (manual & electronic), etc. Provides input on departmental budget and operational goals and manages clinic operations to achieve set targets and goals. Mentors and guides other clinic office managers regarding best practices for clinic operations and helps ensure the clinic physicians are operating in an efficient and effective manner. Guides clinic physicians on clinic decisions affecting the practice through the use of data and benchmarks. Interviews, selects, makes recommendation for hires, and retains employees Ensures orientation and training for employees Manages the overall operational performance for the practice including quality metrics Participates in the positive discipline process in coordination with HR and upper management. Manages clinic productivity standards Responsible for clinic compliance requirements with all local, state, and federal regulations and laws Approves payroll and is responsible for accurate payment of employees Works with the responsible billing department to ensure timely and accurate billing of services rendered. Manages front line operations of area of accountability related to meeting/exceeding departmental goals, DCH Mission and Vision. Sorts and reviews invoices and statements of vendors and looks for opportunities to enhance the efficiency and profitability of the clinic. Maintains performance, patient and employee satisfaction and financial standards as outlined in the performance evaluation Assist in day to day tasks as needed in the clinic/office to ensure delivery of quality patient care, and a safe and efficient working environment – including filling in with the receptionists position – or any other position – as deemed necessary. Maintain patient privacy in all matters including written medical records and computer records Maintains Corporate Compliance, HIPAA, Security and Red Flag Alert Plans/Procedures/Staff Training for the Practice that pertains to a Private Practice in addition to the DCH Standards/Policies/Procedures Provides oversight and direct management of office staff Assists patients and staff as needed to meet the needs of the department Responsible for all Practice supply ordering/inventories Responsible for assisting with the provider credentialing/recredentialing processes of all insurance companies Manages front line operations of area of accountability related to meeting/exceeding departmental goals and DCH Mission and Vision. May travel to designated service area as needed to perform duties and responsibilities. EDUCATION AND/OR EXPERIENCE:•Minimum of two (2) years’ experience as a team leader/supervisor/manager of business services in a healthcare related environment including knowledge of general medical billing practices and budget management. •Bachelor’s degree in Healthcare, Business or related field preferred. Good interpersonal and public relations skills required. •Valid driver’s license and must have reliable transportation resources to travel to business-related meetings. •Must be able to read, write legibly, speak and comprehend English.•Possess computer skills for using Word, Excel, Access, Power Point, Internet, internal and external email.
