Role definition:
The purpose of this position is to provide effective and efficient administrative assistance to the Human Resources team on all compensation, benefits, payroll, L&D, recruiting, and general administrative functions. This will be a busy but rewarding role where the successful candidate will be proactive and a self-starter. The ideal candidate will be a recent graduate looking to develop their career within HR or alternatively an experienced professional administrative assistant who may already be working in an HR environment who enjoys supporting a team with a heavy and varied admin workload.
Duties/responsibilities
Recruitment:
- Internal and external job postings
- Interview co-ordination
- Arrange background checks and drug screening
- Prepare offer letters
- Creation of new employee files
Compensation and Benefits:
- Assist with benefits’ administration where appropriate
- Assist with Wellness Program as needed (scheduling of all appointments, gym subsidy calculations, etc.)
- Assist with semi-annual Open Enrollments
- Process charity matching gifts
- Administration of HR sponsored events (Bring your children to work day, annual wellness fair, world mental health day, participate in social committee as HR representative
- Assist with compensation letter production and mailing
- Invoices into CODA
Learning and Development:
- Assist with scheduling and entering of information into the Learning Academy
- Assist with coordination of training events
- Assist with systems access/issues resolution
- Track tuition reimbursement and send out clawback documentation
- Track CPD
HR Administration:
- Tracking of FMLA/LOA; create procedures, update letters, track events
- Track ADA accommodation requests (e.g. sit/stand desks) and notifications/follow up for certifications
- Track service awards; notify employees, notify payroll, update WorkDay.
- Review and track vacation balances; review at resignation; notify HRBP and Payroll
- Management of Head of People’s diary and completion of expenses.
- Administration of purchase orders and invoicing for the team; provision of accrual information to Finance.
- General administration duties e.g. Photocopying, filing, stationery ordering, etc.
- Employment verifications
- Minute taking
- Maintain employee files
- Maintain employment law posters
- Ad hoc projects as requested
Experience, qualifications, skills/knowledge:
- The role would suit a recent graduate with a bachelor's degree in business or human resources or an administrative assistant with a minimum of two years administrative experience preferably within an HR environment who enjoys being in a support role.
- Investment/financial services experience advantageous.
- Must have computer skills and the ability to learn HRIS system (ADP).
- Must be proficient in Microsoft Excel, Word, and PowerPoint.
- Strong analytical and problem solving skills.
- Superior verbal/written skills and presentation skills.
- Good punctuation, spelling, grammar and attention to detail a must.
- Strong interpersonal skills essential.
- Highly responsible and customer focused
