What are the responsibilities and job description for the Event Coordinator (Hybrid) position at ABS Kids?
ABS Kids has an exciting opportunity to join our team as an Event Coordinator! We are looking for candidates in the Houston, TX area. This position will work mostly remote with occasional visits to our Sugar Land office. The Event Coordinator will coordinate virtual and in-person company-hosted and attended events for recruiting and business development.
Our Administrative Support team members play a vital role in advancing our mission to make a difference in the lives of children with autism spectrum disorder and their families. *What Would You Do:*
* Under the Direction of the Events Manager, support company events in a growing number of markets.
* Conducts event research, calendar planning, obtains approvals and coordinates the logistics and support for the event.
* Make sure events support and meet business goals
* Communicate with vendors to gather pricing and information for the event
* Procures all materials and manages the inventory of promotional items, including looking for competitive pricing and planning inventory for the year (i.e. brochures and pens)
* Plan giveaways, ship all materials needed for the booth (decorations / giveaways / marketing materials) and anticipate the needs of colleagues.
* Strategize and build the lead capture process for each event, including a back-up plan, to align with the business goals of the event.
* Ensure that all materials have arrived prior to the event.
* Meet with recruiters and colleagues pre-event to review the agenda, checklist, and the individuals they will be meeting with.
* Plan and execute digital pre-promotion of the event. Coordinate with marketing and communication team members for additional promotion opportunities.
* Collect data and information post event, meet with attendees, process leads, notify raffle winner, send post event communication to leads.
* Debrief with attendees to determine the success of the event and future improvement opportunities
* Help establish and maintain the relationships with the organizations in the community
* Develop and manage vendor relationship related to events and event supplies and logistics
* Act as a liaison between departments and vendors to ensure accuracy
* Work within budget guidelines
*Who are we looking for?*
* Bachelor's Degree preferred
* Experience working with Microsoft Office (especially Excel), Form, Whova App and Behavior Live
* Preferred 1-2 years of events support, both virtually and in person
* Must be highly organized, detail oriented, resourceful, and enjoy creating and using checklists
* The demonstrated ability to troubleshoot issues quickly and creatively
* Must be a team player and be comfortable communicating with internal and external partners
* This position is deadline driven and requires someone who has experience juggling multiple deadlines at once and staying organized
