Job Posting for Office Manager/Controller at Absolute Construction
Job Description: Function as Controller for multiple entities as well as day to day accounting for construction company.
Duties related to Primary Company:
Daily
Check mail @ office
Check bank balances
Upload bank balances into Quickbooks
Manage credit card balances
Check emails to download invoices; enter & attach them into QuickBooks
Set up jobs and projects
Submit for construction draws
Match transactions to the banking page making sure it is attached to the correct project and there is a matching receipt
Make bank deposits
Receive and manage receipts
Weekly
Payroll is every other week. Be sure time sheets are entered correctly and that payroll is submitted no later than Wednesday afternoon
Monitor and report vacation/sick leave, health insurance payment, 401K and any other related payroll job duties
Send invoices to the superintedent in charge for approval. Enter the bill and ensure the correct job and item is selected. Send list to managment for approvals and verifications.
Manage vendors and coordinate payments.
Pay bills
Manage employee credit cards and report to owner
Monthly
Report and pay the Transaction Privilege Taxes
Manage monthly recurring expenses
Reconcile bank statements
Reconcile credit card statements.
Pay monthly bills
Annually
Liability Insurance audits
Workman’s comp audits
Send 1099's
Send W2's
Send new AZ tax forms to all vendors
Receive new COI from trade partners
Assess balance sheet and P & L
Prepare for year end
Adjust chart of accounts as needed
Duties related to Sister Companies:
Process payroll
Manage emails
Monitor invoices and receipts
Pay bills
Reconcile accounts
Manage daily account balances
Preview reports and petty cash log
Planning, directing and coordinating all accounting operational functions
Coordinating and preparing internal and external financial statements
Providing management with information vital to decision-making processes
Managing the budget process
Assessing current accounting operations, offering recommendations for improvement and implementing new processes
Evaluating accounting and internal control systems
Evaluating the effectiveness of accounting software and supporting database, as needed
Developing and monitoring business performance metrics
Overseeing regulatory reporting, frequently including tax planning and compliance
Solid communication, technology, analytical and management skills. Candidates should possess knowledge of all aspects of generally accepted accounting principles (GAAP).
Previous experience in public accounting and construction industry is highly valued.
Experience with Quickbooks Enterprises Contractors version is preferred
