What are the responsibilities and job description for the Admissions Assistant position at ACCS?

Under the general direction of the Director of Admissions/Registrar, the person in this non-supervisory position provides assistance to the Admissions Office in the development, maintenance, and storage of student records.  In addition, this position assists students at the Admissions Office counter. 


Salary:  Appropriate placement on Salary Schedule E4 05: ($35,068-$48,728), which is based on years of directly related full-time experience.

A complete application packet consists of the following:

  • Copies of all college transcripts

Verification of experience (employment) will be required after the interview process and prior to an offer of employment. Letter(s) must come from current and/or former employers, verifying employment experience to meet minimum required qualifications and for appropriate placement on the salary schedule.    Letter(s) must include employment dates, employment status, and job title and be on official letterhead with an authorized personnel signature.

Completion of all sections of the online application is required.  Application materials, including transcripts, must provide documentation that the applicant meets all minimum qualifications. Degrees must be posted on transcripts.

Unofficial transcripts are acceptable for application; however, official transcripts may be requested by the College prior to extension of an employment agreement to the successful candidate. Incomplete application packets will eliminate the possibility of an interview.   It is the sole responsibility of the applicant to ensure his or her application packet is complete. Once submitted, all application materials become the property of CVCC.  Only applications received during the period of the announcement will be considered.  NO PHOTOS, please. Request for copies of application materials, including transcripts, will be denied by the College.
 
Anticipated Start Date:  As soon as possible, or as negotiated.
  1. Maintain regular and predictable attendance.  
  2. Assist students through the enrollment process and in the Admissions Office.
  3. Perform routine clerical duties, including answering the telephone, filing, and copying. 
  4. Process incoming correspondence daily.
  5. Run reports as requested.
  6. Process incoming transcripts.
  7. Process enrollment verifications and student changes.
  8. Process official outgoing transcript requests.
  9. Process and distribute interoffice mail.
  10. Process attendance verifications and reinstatements. 
  11. Scan documents into Banner Xtend.
  12. Process dual enrollment and accelerated high school student admissions and registrations.
  13. Process grade changes per instructors.
  14. Generate and mail suspension letters.
  15. Record receipt of incoming transcripts in the campus software system. 
  16. Pull in third party vendor transcripts and records daily.
  17. Process applications for admission from AXIOM to TargetX and Banner.  Address any errors in processing and data.
  18. Provide back-up support to Admissions Office staff as needed.
  19. Assist with registration process. 
  20. Assist with grade processing each semester.
  21. Process certificate and diploma evaluations for completers.
  22. Process adds/drops and withdrawals daily. 
  23. Download and record ACT scores.
  24. Assist with international student processing.
  25. Process and track career pathway registrations.
  26. Assist with graduation rehearsal and ceremony.
  27. Text and communicate with students through the College's platforms.
  28. Assist with New Student Experience.
  29. Perform other duties as assigned.

  3. Remain current in and enhance professional knowledge and skills through professional development and continuing education.
  4. Interact with and serve diverse student and employee populations in a courteous and friendly manner.
  5. Adhere to College standards of professionalism and confidentiality, including courteous and friendly interaction with other CVCC employees.
  6. Maintain appropriate work hours as outlined in State and College policies and assigned by supervisor or dean.
  7. Recruit potential students to the College and assist in retention efforts.
  8. Represent the institution in a positive manner.
  9. Participate in registration and schedule adjustments, as assigned.
  10. Serve on committees as assigned.
  11. Attend department and division meetings.
  12. Participate in the College planning process.
  • Associate degree, or the equivalent (60 semester hours), from a regionally accredited institution
  • Two years of directly related full-time experience
  • Ability to demonstrate computer and typing skills during screening
  • Ability to maintain confidentiality
  • Effective oral and written communication skills; proficiency in the English language
  • High degree of workplace professionalism
  • Strong work ethic
  • Ability to work a flexible schedule
  • Proficient use of the Microsoft Office suite, including Word, Excel, PowerPoint and Outlook
PREFERRED QUALIFICATION:
  • Two years of postsecondary education work experience
