REPORTS TO: Marketing Manager

POSITION SUMMARY:

The Theatre Coordinator is responsible for providing administrative support to the Theatre management team.  This person will also train and work with our Box Office Manager to provide additional support in Ticketing.   There may be opportunity to assist the Operations staff with front of house operations, including but not limited to artist hospitality, fire panel watch and other tasks to be assigned. 

 

ESSENTIAL JOB FUNCTIONS:

  1. Handle incoming Theatre inquiries and pass through to Theatre sales team

  2. Answer the main Theatre phone line and provide general information regarding the property, Theatre, parking, and ticketing to customers and clients

  3. Maintain the Theatre calendar 

  4. Communicate with promoters and sales contacts to place holds on the Theatre calendar and convey hold positions to clients

  5. Challenge and confirm dates as needed

  6. Schedule Box Office Agents and House Supervisors

  7. Assist with Box Office reporting

  8. Pull AXS reports 

  9. Schedule Theatre walkthroughs with potential clients 

  10. Maintain relationships with hotel counterparts in order to provide seamless service to clients

  11. Create specialized calendars for scheduling various positions 

  12. Maintain inventory and order cleaning supplies

  13. Maintain inventory of wristbands and credentials

  14. Responsible for overall cleanliness and organization of dressing rooms and hospitality inventory - towels, irons, coffee makers, etc.

  15. Respond to online reviews

  16. Respond to enquire emails

  17. Prepare and distribute weekly reports as assigned

  18. Assist with creating estimates, contracts and invoices to present to clients

  19. Assist with scheduling third party vendors for events – Allied, SAS, and DBS 

  20. Assist with reconciling vendor invoices

  21. Prepare and distribute weekly reports as assigned

  22. Special projects as requested

REQUIRED QUALIFICATIONS:

  • Excellent organizational skills and attention to detail

  • Ability to multitask and prioritize

  • Previous ticketing experience a plus

  • Great attitude

  • Team player

  • Ability to create and implement systems

  • Outstanding communication skills with a proven ability to work in a fast-paced environment.

  • Strong computer skills 

  • Previous experience working in events and knowledge of the music industry a plus

1. The associate is required to walk, stand, bend at the waist and sit at a desk with arms.

Uses legs and a straight body alignment to lift, carry items, weighing from 5 lbs. up to 50 lbs as needed basis.

The performance of this position may occasionally require exposure to the manufacturing areas where under certain areas require the use of personal protective equipment such as safety glasses with side shields and mandatory hearing protection. Primary environment: ambient room temperatures, lighting and traditional office equipment as found in a typical office environment
