What are the responsibilities and job description for the Architectural Contracts Admin position at Actalent?
Description:
A client of ours is looking for a contracts administrator with architectural background to join the Site C project. They have multiple contracts which include interior for operations building, spillway, intakes, permanent fisheries, fishway building as well as managing some structural components, lighting, electrical in all buildings which are all managed by BC Hydro.
They are controlling the specifications and the author of the specification book, coding, flooring, doors, hardware, security is working as intended
Day to day duties include -
- Providing input and move the information from site to office
- Documenting contract administration – no professional liability, make small decisions
- BC Hydro has a resident team, who communicates with contractors, our client will respond to emergency questions that come up, minimize the paperwork
- Attend meetings (big administration aspect), communicating, collaborating, currently receiving between 20-100 documents to review (for the entire team), typical week reviewing 4 RFI, 12 submittals, attend about 6 inspections – go to site and look at projects that are about to be turned over, identify deficiencies and issue. LOTS of computer work.
- Contracts administration – large contracts would go through JD, file and review, go through it twice, put a draft together, meet with JD on teams for approval.
Daily Expectations -
a) Become sufficiently knowledgeable and familiar with the client's scope of work which is comprised of three (3) IFC drawing sets (total of 100 A0 sheets, largest set being 72 sheets), three (3) sets of architectural specifications (148 specification sections in total), as well as 287 previously reviewed submittals and 86 RFIs which will be made available to the successful candidate.
b) Attend meetings as the various prime contractors and trades progress through construction of the client's scopes of work.
c) Review and answer routine questions from the contractor(s) and be able to defer questions and/or relay them back to the design team when deemed necessary.
d) Be the eyes and ears for our client on-site to identify and drive resolution of architectural issues within our client's’ scope, including acting as the primary contact for site identified issues. This will involve regular and frequent coordination, collaboration, and communication with the Vancouver based design team and the site Resident Engineering Team.
MUST HAVE -
- degree in architecture technology and five (5) years of relevant working experience
- Strong expertise with Microsoft Office applications, specifically SharePoint, Word, Excel and Outlook
- architectural contract admin experience
- Ability to work independently with minimal supervision
- Excellent communication, written and spoken
