What are the responsibilities and job description for the Receptionist position at Aculabs, Inc.?
Available Schedules:
Monday to Friday, 11AM-7:30PM OR
Saturday and Sunday, 6:30AM-3:00PM
Communicates and assists clients via phone. Announces and directs all visitors to their desired destination. Dispatches calls and relays messages to all staff members. Performs other general clerical duties assigned to the department. Holiday and weekend rotation is a requirement whenever department is short staffed, or as necessary which will be determined by the Supervisor.
ESSENTIAL FUNCTIONS:
- Answers phone calls in a timely and professional manner.
- Ensures that the ACD is active and logged in, when leaving workstation phone must be put on unavailable.
- Sorts through, distributes, reviews and addresses all messages that come through our answering service including entering all applicable orders into system.
- Inputs orders into system (Comet Tracker) generates confirmation number for each order entered.
- Takes supply orders as requested by clients.
- Checks company calendar using email for scheduled days off of personnel.
- Assembles lab books for new facilities/units as requested.
- Sorts through faxes and leaves them in their proper areas or bins, this will be done numerous times throughout the day and night.
- Opens mail (not mail marked “confidential” or “to be opened by addressee only”), sorts mail and pages appropriate department to obtain mail left. Places applicable mail in folders.
- Takes messages and distributes them to proper personnel.
- Communicates information to our clients such as results, status of results and etc.
- Greets and assists all visitors as needed.
- Distributes applications as needed to walk in candidates.
- Works on missing billing information when not answering phones, inputs missing billing information into system and scans paperwork to serve as documentation.
- Performs a variety of other clerical and administrative duties as assigned by direct supervisor.

Requirements
EDUCATION/EXPERIENCE: Any one of the following will be considered:
- High school diploma or equivalent
- At least one year experience as a telephone operator and/or customer service representative.
- At least one year experience in medical setting (ie. Doctors office, hospital, lab)
DISCIPLINE
- Employees that fail to follow the work rules stated above or fail to use the appropriate PPE will be subject to disciplinary action up to and including termination.
