You Will Be Responsible For:

  • Responsible for all meetings that fall under the organization of the Medical Staff office; seating set up, calendar invites (hospital administrators, physicians and key staff), electronic catering (eCatering) orders, etc. This includes monthly & quarterly Medical Staff meetings, as well as routine staff meetings with the team.
  • Responsible for responding & fielding physician/AHP calls and inquiries; escalating to director when appropriate (Evening and Weekends apply)
  • Responsible for administering/ coordinating external vendor contracts as assigned
  • Shares joint responsibility to transcribe minutes for assigned Medical Staff meetings; Creates agenda and necessary documents for meetings /assemble packets.
  • Organizes all necessary items for Medical Staff Orientation bi monthly:

o Maintains and utilizes monthly notification to new providers

o Tracks RSVPs and follow up communication for providers registered for orientation

o Assists in communication between the Physician Liaisons in scheduling new providers for Cerner training.

o Assist with OPIDs and Access

o Ordering ID badges for all new providers

o Setting up appropriate security ID badge access for new providers

  • Oversees and manages the issuing of student shadowing/ observation opportunities in compliance with Florida Hospital guidelines.
  • Assist with Resident and Fellow Physician Onboarding and verification:

o Acquire necessary documentation / certifications

o Request OPID & Access

  • Processing of AHPIIs

o Acquire necessary documentation / certifications

o Request OPID & Access

  • Processing of Med Students & AHP Students

o Acquire necessary documentation / certifications

o Request OPID & Access

  • Collect & Scan in provider information as needed within Morrisey under provider profile. Ex: Immunization shots.
  • Coordinating with the Central Verification Office non-staff providers access within Cerner.
  • Enter all selected providers into E-prescribe in Morrissey (information will be provided by Medical Staff Manager monthly and/or as needed)
  • Responsible for monthly Board of Director Letters being created, scanned into Morrisey and mailed out to providers (Initial, reappointment, advancement and resignation)
  • Monthly provider lab coat ordering and tracking.
  • Reporting & Tracking to Legal for STARK Compliance (monetary value items – EX: Lab Coats/ Doctors’ Day Gifts).
  • Support behind the organization, planning, and follow up for the following reoccurring meetings/events:

o Regional Doctors’ Day coordination / Florida Hospital Tampa onsite facility event

o Regional Physician Holiday Party

o Annual Physician Event (may include assisting West Florida Division as well)

o Meaning in Medicine meetings – Florida Hospital Tampa

o Physician Well-Being Committee – Florida Hospital Tampa

o Annual Physician Satisfaction Survey

  • Frequent communication and organization with internal and external vendors for day to day operations and event/project needs.
  • Assist in Physician issue/concern follow up.

o Ensure physician satisfaction by monitoring needs, developing relationships and following through with resolution when directed.

  • Understands and follows The Joint Commission regulations and other regulatory requirements in addition to the Medical Staff Bylaws, Credentialing Policy and Rules and Regulations.
  • Assists in updating policies as they apply to the Medical Staff at Florida Hospital Tampa.
  • Work closely with Medical Staff Services to prepare for monthly Medical Executive Committee meetings, Board of Directors meetings, and their respective sub-committee meetings.
  • Streamline communication amongst the team and our medical staff members in efforts to keep consistent follow up and responses to our customers.
  • Process all initial and reappointment medical staff member invoices.
  • Support Director’s outlook calendar and meetings
  • Coordinate with Medical Library Manager the organization and maintenance of materials in library under the direction of the Director.

Periodic Duties

  • Support Administration, Medical Staff Office, and Peer Review Meetings (regular and ad-hoc) when requested and assigned by Director
  • Identify and Support Performance Improvement initiatives between the following departments/ teams:

o Central Verification Office

o Quality /Risk Management

o Clinical Informatics

o Health Information Management / Coding

Qualifications


What You Will Need:

KNOWLEDGE AND SKILLS REQUIRED:

  • Must be able to act independently and demonstrate strong leadership, organizational skills, and problem solving abilities.
  • Must be proficient in policy development and initiatives programs and processes to ensure patient safety.
  • May be required to use own judgment to resolve urgent or immediate problems.

EDUCATION AND EXPERIENCE REQUIRED:

  • B.A or B.S degree
  • 3 years’ customer service experience in a fast paced environment working with internal and external stakeholders.

KNOWLEDGE AND SKILLS PREFERRED:

  • Customer Service
  • Microsoft Office 365

EDUCATION AND EXPERIENCE PREFERRED:

  • Leadership Experience Preferred
  • Morrisey Experience Preferred
  • Experience working with Physicians in a practice or hospital setting.

SUPERVISORY RESPONSIBILITIES

  • May coordinate the work of a group through such action as allocating resources or performing service tasks for the group. Does not directly supervise others, but does provide guidance in relation to the department.

Job Summary:

This position is responsible for the development, structure, and organization of, as well as the day to day operations within, Medical Staff Services and Physician Services. The coordinator will coordinate the projects behind the Physician Services Director and track the progress and follow up for the department while identifying areas requiring attention, reporting back to hospital departments and Medical Staff Members and work through solutions with direction from the Director. The position will administer and negotiate external contracts as assigned. The coordinator will be responsible for responding and fielding physician/AHP calls and inquiries; escalating to director when appropriate. Evening and weekend work as needed. Provides availability to team members, the entire Medical Staff and internal & external departments associated with Florida Hospital Tampa and the West Florida Hospital Division. This position performs all aspects of customer service and support, while maintaining all current standards and expectations between the Central Verification Office, Medical Staff Services, Florida Hospital Corporate Compliance (STARK) and Physician Services.

Responsibility to adhere to the Florida Hospital Corporate Compliance plan, to the rules and regulations of all local, state and Federal agencies, and to the standards of all accrediting bodies.
