POSITION SUMMARY:
To greet and relay incoming calls and messages in a professional and prompt manner, and to provide administrative secretarial assistance to assigned company personnel as required.
POSITION REQUIREMENTS:
- GED or High School Diploma.
- Must be at least 18 years old.
- Must have valid Texas Driver License.
- COVID 19 Vaccination card or Medical exemption or Religious exemption
- Must be able to lift at least 50 lbs.
- Must have good driving record.
- Must pass pre-employment drug screening.
- Must be proficient in Microsoft Office and Windows.
- Typing Skills (45 wpm)
- Ability to speak clearly with good grammar.
- Must have good telephone etiquette and handle visitors courteously.
- Ability to comprehend and legibly compose understandable messages.
- Ability to sit for long periods of time.
- Ability to read, understand, and act upon written or verbal instructions.
- Ability to set priorities and work within those set by others.
- Ability to juggle multiple tasks.
- Ability to work well under pressure.
- Must be dependable, punctual, and maintain a regular work schedule.
- One year of full time experience performing similar duties in an organization or agency.
- Medical terminology preferred.
- Ability to work with multi-line phone system.
POSITION DESCRIPTION
Primary Duties:
- Answer telephone, relay calls and/or messages to designated staff through their extension or the PA system.
- Maintain a record (carbon copy) of each written phone message. Messages must be accurate, understandable and legible.
- Maintain message center and a general knowledge of whereabouts of personnel.
- Greet the public, personnel and applicants. Inform appropriate person(s) of arrival and direct to the appropriate location or person, as needed.
- Have all visitors' sign in on visitor's log.
- Use a computer to type letters, reports, memos, forms, or other documents from rough draft, corrected copy, or verbal instructions; as requested by administrative personnel. Proofread, copy if required and distribute to designated person(s) or departments.
- Responsible for keeping employee phone list current.
- Transfer phones from answering service at designated times, receive and forward messages promptly.
