Please note that this is a contract role providing services to the Johnson & Johnson Family of Companies through external staffing partners of Kelly OCG. If you are selected for this role, you will be employed by a contract staffing supplier and will not be a member of the Johnson & Johnson Family of Companies.
Summary:
Campus Business Coordinator position will work under the direction of the La Jolla Campus Director in four major areas: accounting, project coordination, administrative support, and Campus communications. This includes coordination of daily schedules, meetings, agendas, presentations, and financial reporting for the Campus Management department. It will also include coordination with other key campus departments including Facilities, IT and EHS.
Responsibilities:
- Accounting
- Ensures accuracy, integrity, and timeliness of all financial accounting and reporting.
- Reconciliate expenses with monthly and quarterly finance reports
- Monitors spending and departmental budget; preforms budget analysis; tracks and reports outcomes.
- Open POs and check requests.
- Process contracts and HCC requests
- Process Ariba and Concur expenses.
- Project Coordination
- Coordinate campus calendars with Event and Concierge Manager
- Order and manage food services.
- Buy and maintain supplies, awards, other purchases for meetings and events.
- Create reports and summaries for event record keeping.
- Administrative Support
- Manage Campus Director Outlook calendar.
- Manage Campus general email inbox.
- Prepares agendas and takes minutes for Governance Team and other campus meetings.
- Maintains support systems for structuring priorities necessary for Campus Director
- Coordinates and assists in developing associated business reports and prepares presentations.
- Organizes files, performs data entry and analysis, and maintains accurate records.
- Handles confidential matters requiring discretion and judgment.
- Acts as liaison with other departments and external JNJ administrators.
- Make travel reservations (as needed).
- Campus Communications
- Assist in drafting and sending general campus communications to external parties or internal leaders.
- Manage site email distribution lists.
- Support new hire orientation and activities.
- Basic support of Campus communication tools
Qualifications:
- A minimum of a High School diploma with at least 6 years of progressive executive administrative or related experience is required.
- 6-8 years of experience needed and a bachelor's degree is preferred but not required.
- Ability to work independently.
- Advanced computer skills including word processing, spreadsheet, presentation, and database software are required. Experience in systems to effectively handle PDM, Ariba, SharePoint, OurSource or other related systems/software processes including onboarding of new hires is required.
- Excellent verbal and written communication skills are required to properly draft and edit memorandums, correspondence and presentations and interface with senior leaders.
- This position requires organizational skills, exemplary stakeholder service skills, the ability to handle multiple tasks and priorities simultaneously, and the ability to work with independence and minimal supervision.
- This position requires a demonstrated team player with a record of proactively taking initiative as appropriate and willingness to learn.
- Must be able to handle confidential matters requiring discretion.
- Must demonstrate excellent judgment and the ability to solve problems proactively.
- Must present himself/herself in a professional manner, demonstrating integrity, thoroughness, accuracy, and organization.
- Contract administration skills are a plus.
