The Opportunity

We are a rapidly growing manufacturer’s rep firm based in Kentucky that represents commercial & industrial HVAC products. The Project Manager (PM) will be responsible for executing projects through completion once the sales team receives notice to proceed. The PM will work closely with the sales, application, and service teams to ensure information is accurate and the customers’ expectations are exceeded. The PM maintains goals designed to reduce profit slippage, maintains an accurate backlog, and maintains excellent customer relationships by ensuring projects are executed effectively and efficiently. Further, this leader works closely with AEC leadership to leverage operational efficiencies and process synergies to ensure consistency in the family of brands and a team culture.

Responsibilities

Description of Principle Duties:

  • Post-Sale/Pre order:
    • Weekly measurement and tracking of AEC backlog.
      • Receiving weekly order reports from sales admin
      • Updating PM tracker
      • Reporting backlog status to Ops management
    • Job Progress tracking
      • Key Dates
      • Order acknowledgement.
      • Updating Critical Customer information
      • Job Profit
  • Post Order/ Pre-Delivery
    • Initiating handoff meeting with sales team
    • Expected ship dates reviewed and communicated to customer.
    • Initiating kick off meetings with project stakeholders.
      • Scope, submittal, and sequence reviews
      • Install consulting and documentation.
    • Updating 60-day pre startup forecast
    • Project information transfer to service department
  • Post Delivery/ Prestart
    • Addressing installation concerns
    • Distribute pre-startup checklist to installing contractor.
    • Request pre-startup field inspections when necessary.
    • Coordinating startup dates with customer
  • Active startup
    • Issue resolution - Addressing, delegating, and escalating onsite issues.
  • Project Closeout
    • Closeout documentation collected, reviewed, logged, and distributed to key project stake holders.
      • Issue warranty letters (coordinated with service)
      • IOM distribution
      • Manage lien release process.
    • Job Profit tracking updated.
      • Performing regular post closeout reviews
  • Managing Customer Satisfaction Pool request
  • Participating in weekly Operations Leadership Team meetings
  • Responsible for updating weekly scorecard measurable items.
  • Can expect to attend regular meetings with Operations manager.

Qualifications

Education, Experience and Qualifications: 

  • Experience in project management is required.
  • Education and experience with the construction and engineering industry, with specific experience in dealing with construction drawings, specifications, construction schedule and processes is preferred.
  • HVAC industry, education, or knowledge required.

Other Skills & Abilities

Language SkillsAbility to read and comprehend simple instructions, short correspondence, and memos. Ability to write correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.

Mathematical SkillsAbility to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret graphs.Reasoning AbilityAbility to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations. Mental stamina for problem solving and prioritizing multiple tasks.

Physical Demands

While performing the duties of this job, the employee is regularly required to use hands to operate computer keyboard and telephone, reach with hands and arms. The employee frequently is required to stand, walk, and sit. The employee is occasionally required to climb or balance and stoop, kneel, crouch, or crawl. The employee must regularly lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, peripheral vision, depth perception, and ability to adjust focus.
