Alabama State University, Facilities Management & Operations, Transportation Department, invites applications to fill the position of Office Manager. The selected candidate will provide administrative assistance to the Transportation Manager and staff in all aspects of the functionality of the Transportation Department.
Duties and Responsibilities:

Duties and Responsibilities:
- Prepares all correspondence, memorandums, and reports pertaining to the Transportation Department
- Provides all secretarial and administrative duties as requested by the Transportation Manager
- Serves as daily receptionist to greet all university personnel requesting assistance as well as outside stakeholders
- Develops, maintains monthly bus schedules based on transportation requests
- Ensures proper and timely communication is given to bus drivers and requesters in a timely manner
- Prepares department payroll and accurately tracks driver overtime for proper and timely authorization
- Maintains appointment calendar for Transportation Manager
- Maintain list of all staff members utilizing University vehicles
- Ensures all drivers are listed on the University insurance policy and monitors each driver insurability annually
- Coordinates annual driver safety training classes and ensures all ASU motor vehicle drivers attend driver defense workshop
- Serves as University’s liaison with State of Alabama Motor Pool, to include keeping an up to date log of requests on all personnel utilizing a State Motor Pool Vehicle
- Reviews mileage and gas usage via monthly gas cards report on all ASU vehicles and reports any abnormalities to Transportation Manager
- Records and tracks routine and annual service to motor coaches to insure successful DOT inspections, and in the absence of the Transportation Manager, may authorize repairs on buses and university vehicles
- Manages department's PeopleSoft budget software to generate purchase orders for departmental services
- Monitors Asset Essential work order system to ensure timely repairs for University fleet
- In the absence of the Transportation Manager, assigns drivers to additional duties in the event no trips are available, communicates with charter companies to address any issues that may arise during trips, and serve as point of contact for the department
- Perform other duties as assigned
