Alcority is a shared business service provider of Finance and Accounting, HR, IT, REFM, Sourcing, Procurement and Risk Management & Insurance services to a portfolio of global customers. Alcority shared services are provided through a network of service delivery centers located in New York, Connecticut, Dallas, Houston, and London.
The Alcority Real Estate & facility management Team is seeking a Lease Administrator/ Abstractor to join the team to assist the manager with lease administration activities The person in this role will support the Lease Administration Team.
Responsibilities:
- Collaborate with REFM Team and other cross-departmental groups to produce
lease abstractions, M&A due diligence, client services and requested information and documentation. - Ensure Distribution of fully executed documentation to all respective PortCo groups.
- Manage document library in Costar system (i.e. catalog documents, OCR, and label in accordance with the company establish document naming convention).
- Gather and manage internal data inputs across multiple internal systems and processes.
- Prepare lease abstracts in Costar database.
- Assist with monthly rent rolls preparation.
- Monitor, prepare and distribute real estate lease critical dates and options reports, and work closely with the Real Estate and Facilities Management team to update the Costar database accordingly.
- Execute data reconciliation process to ensure 100% data integrity in Costar system.
- Ensure 100% data integrity in Costar system.
- Perform accurate and detailed data reconciliations in Costar system.
- Monitor, prepare and distribute critical dates and options reports.
- Perform invoice reconciliation and prepare report(s) for discrepancies
- Proactively identify and contribute to departmental and company-wide improvement opportunities.
- Leverage company and industry best practices to ensure that customer touchpoints are coordinated, efficient, and consistently high-quality.
- Ad- Hoc assignments.
Requirements:
- 5 - 8 years of experience in commercial lease administration environment.
- Bachelor’s degree required.
- Attention to details a must.
- Ability to understand, interpret and abstract complex commercial lease documentation.
- Ability to perform quality review of the abstracted data.
- Superb abstraction skills, customer service, communications, organization, and interpersonal skills.
- Ability to work in a fast -paced environment and manage well through ambiguity and complexity.
- Knowledge of real estate real estate terms/concepts a must.
- Ability to identify and mitigate data quality issues effectively.
- Exceptional analytical and quantitative problem-solving skills.
- Superior MS Applications Skills (i.e. Excel, PowerPoint, Visio etc.)
- Knowledge of Costar system a plus.
- Ability to communicate complex ideas effectively, both verbally and in writing.
