SCHEDULE:
- 40hrs/week
- Up to 4 weekend shifts per quarter
- Some evening & weekend availability
OVERALL RESPONSIBILITIES:
Administrative & Office Management:
- Oversee daily office operations, including appointment scheduling, billing, and patient records.
- Coordinate and manage staff schedules to ensure optimal coverage and efficiency.
- Ensure compliance of efficient filing and record-keeping systems.
- Ensure all aspects of the facility are in working condition with vendors and the landlord for building and equipment upkeep.
- Be a proactive problem solver.
- Take on miscellaneous projects and initiatives as requested by the owner from time to time.
Sales & Patient Relations:
- Provide exceptional customer service to patients, addressing inquiries, and resolving issues promptly.
- Drive sales of all AlignWell services and programs through an informative, inspiring, and educating communication style. Help potential customers understand the benefits of the services that will help them solve personal challenges with their health and wellness.
- Speak with people with enthusiasm about AlignWell services and programs. Become educated and receive training on all aspects of AlignWell services and programs.
- Introduce potential customers to the services that will address their needs and help them achieve their goals.
- Phone skills: Answer the phone in a courteous professional manner, provide information, schedule appointments, and create new potential clients for the clinic through educating and persuasive phone communication skills.
- Ensure a warm and welcoming environment for patients, creating a positive and professional clinic atmosphere.
- Assist in the promotion of and staffing coordination of patient education programs and workshops.
- Assist in frontline clinic operations as needed.
Financial Administration:
- Drive revenue by assisting billing processes and financial transactions accurately.
- Monitor accounts receivable and work with the billing team to ensure timely payment.
- Provide any necessary data to the corporate office to assist in office bookkeeping.
- Assist the owner in payroll for office staff.
Team Leadership:
- Supervise and motivate office staff, fostering a collaborative and supportive work environment.
- Conduct regular team meetings to communicate updates, discuss challenges, and implement improvements.
- Perform periodic employee reviews for direct reports.
- Handle disciplinary action meetings as needed, ensuring fair and consistent application of company policies and procedures.
- Document disciplinary discussions and outcomes in accordance with HR guidelines and maintain confidentiality.
- Assist in the onboarding of new employees, ensuring they have the tools, training, and support to perform their jobs successfully.
Marketing & Promotion:
- Collaborate with the marketing staff and office team to implement promotional activities and community outreach programs.
- Participate and represent AlignWell at local community events when assigned.
- Provide staffing assistance for the marketing team in social media initiatives and other channels to enhance the clinic's online presence.
- Maintain relationships with local businesses, healthcare professionals, and community organizations to foster referrals and partnerships.
ABOUT YOU:
- 2 years experience as a business manager, office manager, or in a similar management/leadership role.
- Medical or chiropractic background preferred.
- Strong organizational and multitasking abilities.
- Excellent communication and interpersonal skills.
- Competency in office technologies such as Microsoft products, G-Suite & EHR systems and comfortable with learning new systems.
