What you'll do

Are you a customer service minded individual who feels a sense of accomplishment and reward when your to-do lists are checked off and complete at end of the day? The ideal candidate will be a reliable professional who is comfortable communicating and interacting with both internal and external clients and who is able to manage a variety of office support tasks and work diligently in an organized and efficient manner. Support includes screening and directing calls, answering questions about the organization, greeting guests, announcing visitors to appropriate personnel, and providing administrative support to staff members.

The Office Services Professional, the role reports to the Team Lead Supervisor and is part of the New York office administrative support team. Working hours are 8:30 AM - 5:30 PM, Monday through Friday, with occasional overtime. Paid relocation is not available for this position.

  • Answer main phone line; determine purpose of calls and forward calls to appropriate personnel or department; answer questions about the firm and provide callers with address, directions, and other information.
  • Serve as "concierge" for the office: Greet guests, determine nature of business, review health & safety protocols and announce guests to appropriate personnel.
  • Authorize guests' access to the office and issue office access cards when required.
  • Accept deliveries and notify appropriate staff in a timely manner.
  • Assist staff at various levels with administrative duties as requested.
  • Assist other office services team members in down time.
  • Schedule meetings and book conference rooms/offices.
  • Create and edit correspondence, files, and indexes.
  • Provide data input support.
  • Update/maintain office phone list.
  • Maintain clean reception area.

What you'll need
  • High School Diploma or equivalent required; college degree is a plus.
  • Minimum two (2) years' receptionist experience; professional services firm preferred.
  • Minimum two (2) years' administrative experience preferred.
  • Exceptional customer service and interpersonal skills required with the ability to interact and communicate effectively and professionally with internal and external customers at all levels.
  • Professional attire/presence.
  • Proficiency in Microsoft Word, Excel, and PowerPoint.
  • Must be flexible and adaptable when procedures change, or urgent situations arise.
  • Effective organizational skills with meticulous attention to detail, excellent time management skills, and an ability to prioritize and manage multiple projects simultaneously are essential.
  • Resourceful with common sense and proven problem-solving skills.
  • Ability to be discreet and handle confidential, sensitive information.
  • Excellent written and verbal communication skills in English.
  • Ability to lift a minimum of 15 pounds.
  • Willingness to work outside of normal U.S. business hours, and as unique projects/needs arise.

  • Must be currently authorized to work in the United States. No VISAs available for this position.

The firm offers a comprehensive benefits program including health, vision, dental, disability, 401K, tuition reimbursement, identity theft protection, and mental wellness support. Employees will also receive a generous paid leave policy including vacation/personal time starting at 5.67 hours per pay period, sick time up to 80 hours annually, parental leave, and twelve holidays.

The hourly range for this role takes into account a number of factors and is between $26 - $33.
