Position Overview:
The Quality Assurance/Data Integrity Officer ensures that the Outreach & Admissions/Career Transition Office is in compliance with all DOL, Corporate and Center requirements.
Primary/Major Duties and Responsibilities (Essential Functions):
- Ensure that all internal audits are completed to 100% every quarter, maintaining standards and compliance within the SOPs of the department and the PRH as set forth by the corporate office. If warranted, bring any findings to the manager, and if need be, to the HR Manager and Center Director.
- Provides technical support to the OA/CTS department to ensure DOL and Corporate policies and procedures are adhered to.
- Scrutinize all placements and folders to ensure compliance and complete documentation
- Conducts periodic PAG/PRH assessments in preparation for Corporate and Regional Office Assessments.
- Audits departmental records and files to ensure compliance with DOL, Corporate, and Center requirements and change notices.
- Monitor AC folder inventories to guarantee timely processing and arrival dates for applicants; along with monitoring the CTS Projected Placement Reports.
- Monitor and evaluate OA/CTS staff case notes for timeliness and content.
- Maintains thorough and accurate logs and documentation of audits that are conducted.
- Makes recommendations to the OA/CTS Manager, Career Pathways Director and Center Director when discrepancies or deficiencies are found.
- Ensures confidentiality and a high level of mutual trust and support with others is maintained.
- Provides coaching and training to OA/CTS staff to improve systems, procedures, and accountability.
- Investigates department functions as defined by SOP’s to evaluate accuracy, efficiency and contract compliance.
- Daily interaction with Career Transition Specialist regarding placements, student files (GRAD/FE) and Admissions Counselors regarding the status of individual AC folder compliance; impart deficiencies and make sure of timely compliance.
- Investigates reporting procedures, records, management methods, and departmental systems, and complies reports, including conclusions and recommendations for solutions of administrative or departmental concerns.
- Ensures that the OA/CTS office does not incur liquidated costs or other fines as it relates to admission and placement information.
- All other duties as assigned.
Secondary Duties and Responsibilities:
- Supervision of the students, as required.
- Assist with staff training on quality assurance procedures as requested
- Attends required meetings, as directed by the OA/CTS Manager and Center Director.
- Assists all OA and CTS staff, as required.
- Ensures quality services are provided.
- Bachelor’s Degree in human services, psychology, counseling, education, social science, communications, or closely related field, or Associate degree in human services, psychology, counseling, education, social science, communications, or closely related field, and 2 years’ related experience. One to three years experience in case management and experience in Quality Assurance.
- Critical thinking skills, organizational ability, social ability to cooperate with other colleagues, students and staff.
- Demonstrated abilities in organizational management.
- Proficiency in basic office skills.
- General knowledge of State and Federal laws as they pertain to the functions of the position.
Preferred Education and Experience
- A broad knowledge or experience in social services or case management.
- Specialized training in related field (social work, sociology, human services.)
- Requirements and affiliations would be related to the agency discretion.
- Ability to work independently and follow through on multiple tasks.
