Description
The Vendor Relations Specialist is responsible for administering AMBA’s P&C and Life & Health Vendor Management Program, assisting in the applicable development and ongoing enforcement of relevant policies and procedures in partnership with procurement and P&C and Life & Health leaders. Additional vendor oversight is managed for the Urbandale office.
We will count on you to:
90% Work Effort Vendor Relations
- Conduct cradle-to-grave activities from onboarding of new vendors and services, activation of governance and oversight programs, and offboarding
- Act as the single point of contact for approximately 30 vendors to resolve end-to-end service-related issues in a timely and professional manner.
- Monitors the performance of vendors with thorough tracking and analysis of output quality data.
- Develops and supervises a comprehensive database to have transparency into inventory quantities, ensuring no delays in outbound campaigns, claim checks, new member welcome, or verification of insurance, ensuring a positive customer service experience to internal and external, current, and prospective customers.
- Manages the purchase order and replenishment processes.
- Execution of all activities associated with the integration of new vendors into the operating environment including, but not limited to, writing business requirements to ensure artifacts are deployed into the established process flow.
- Initial review of quarterly business reviews (QBRS) ensuring vendors deliver - cost/billing structure, service levels, loss cost management measures, customer service expectations, conduct re-inspections to track and resolve identified issues, as needed.
- Review and analyze invoices vs contracts to ensure charges are as agreed. Where appropriate, meet with vendors to discuss and resolve discrepancies.
- Maintain monthly meeting routine with Client Relations and Marketing to capture business requirements for rebranding & correspondence changes.
- Drive project execution and delivery, managing execution of the project plan and delivery from cost, time, quality, and testing perspectives.
- Work cross-functionally across multiple teams, to develop process improvements in the maintenance and distribution of monthly inventory reports.
- Manage adherence to Inventory Destruction Requests.
- Develop, maintain, and distribute cross-company combined paid holidays calendar to monitor workflow, delivery impacts, and receipt date stamping protocols for auditing purposes.
10% Work Effort Facilities & Admin Support
- Specific to the Urbandale office this position oversees all aspects of the office and guarantees the safety and functionality of the building. Duties include corresponding with contractors, planning maintenance work, and maintaining records of all issues reported & resolved.
- Maintaining inventory for office supplies and kitchen snacks
- Supporting Client Relations team with Affinity events
- Other duties may be required from time to time.
Requirements
What you need to have
- 2 years of Vendor Management, Inventory Management, or other comparable experience
- Bachelor's Degree
- Proficient with MS Excel, Word, etc.
- Strong interpersonal, analytical, problem-solving, organizational, negotiation, and communication skills.
- Ability to work independently while being able to contribute successfully to cross-functional teams.
- Excellent organizational skills, ability to manage multiple projects at once, follow through, and meet deadlines.
- Good judgment with the ability to make timely and sound decisions.

Working Conditions: Requires the ability to travel to local vendor facilities as needed. Must be available to work extended and/or non-standard hours as the need arises.
Physical Demands: May occasionally lift up to 25 lbs. Regular use of arms, hands and fingers to feel, grasp, type and reach. Ability to sit at a computer terminal for an extended time. Close vision requirements due to computer work.
