Job Summary
The primary function of the Project Administrator is to support project managers in the data management of their projects through the project life cycle in Dynamics. Other responsibilities include project management assistance, general office administration, preparation and distribution of engineering reports and proposals, basic accounting support, typing, and data entry, assisting Division Manager(s) with miscellaneous administrative projects, and completing other support activities as needed. All of this takes place within the framework of achieving the company's goals and vision.

This job primarily operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, and filing cabinets. This position will occasionally be required to operate in a field environment.

- Project Management Support.
- Provide complex Dynamics project administrative support:
- Standardized Project Setup
- Support with Bookings
- Invoicing Support
- Proposal Support with collaboration from the Project Managers and Marketing.
- Begin to specialize in some area of the project life cycle in Dynamics or other AET Business Systems.
- Responsible for day-to-day project administration activities. Including drafting project documents, coordinating daily work assignments for technicians or other staff.
- Facilitating communication on quality critical documentation needed for projects.
- Assists with calibration documentation.
- Format, proofread, assemble, and send documentation according to AET corporate standards. Includes but is not limited to reports, rough drafts, memos, and brochures.
- Supports day-to-day department needs and provides clerical duties as required.
- Assists department staff in preparation to meet deadlines for projects and other activities.
- Prepares and reviews correspondence, reports, documents, etc. for accuracy and proper formatting.
- Assist with travel/training arrangements for department personnel.
- Assist with sample intake and initial preparation, as needed.

Qualifications And Education Requirements
- High School or Equivalent
- 3-5 years of office clerical or customer service experience
- Proficient with Microsoft Office 365
- Experience successfully supporting a fast-paced department or group
- Excellent verbal and written communication skills
- Excellent organizational skills and attention to detail
- Excellent time management skills with a proven ability to meet deadlines
- Strong analytical and problem-solving skills
- Ability to learn new programs and support teams at a high level with AET Business Systems (e.g., Qest, Dynamics, gINT, etc.)
- Construction Management interest
- Project Management background
