Summary Objective

Support Trust Company personnel in each Division with the administration of accounts and relationships according to procedure and policy of the Division while maintaining the highest standards of service for the client. Trust Company Divisions include Personal Trust, Specialty Real Estate, Retirement Services, Diversified Services, Operations, Compliance and Financial Services. Trust Company accounts include various Trusts such as personal trusts, employee real estate construction trusts, permanent lot care, pre-need, corporate, special needs, guardianships, and estates. Additional Trust Company accounts include institutional and individual retirement plans and agency accounts.

Essential Functions

  • Support and assist ATFSC personnel in with day-to-day administration responsibilities of trust accounts in accordance with terms specified in the governing instrument, applicable policies, procedures, laws and regulations. This may include processing of client receipts and disbursements, review of trust files for completeness, reconcilement of account and sub-account monthly activity.
  • Support ATFSC personnel in the preparation of accurate, comprehensive, and timely account reviews. Account reviews include administrative, unique asset and investment evaluations as required by policy to support fiduciary responsibilities of the Trust Company.
  • Support and assist ATFSC personnel with the compilation and preparation of assigned documentation to update account information as well as the necessary documents to open and/or close accounts as required by Fiduciary Committee and company policies and procedures.
  • Compile other reports as required and perform other duties as assigned such as monthly, quarterly and annual activity reports requested by clients and Fiduciary Committee.
  • Support and assist ATFSC personnel with the review and analysis of trust instruments and other legal documents to carry out the duties of the Trust Company and to maintain proper compliance with stated issues.
  • Under the supervision of management, prepare reports, perform research, update policy and procedure documents, and other required information as requested by management.
  • Support and assist ATFSC personnel with the compilation of necessary data for compliance, audit, or examinations or for any other internal or external reporting purposes.
  • Support and assist ATFSC personnel with compliance testing activities as outlined by the annual compliance calendar.
  • Aid with the updating of the Trust Policy & Procedure Manual. Assist with the continuation of the project underway to separate policies from procedures within the manual.
  • Assist in the research of regulatory requirements and maintain awareness of proposed legislation/regulatory changes, as necessary.
  • Respond timely to requests for information and assistance by co-workers and management. Assist in performing required tasks as stipulated in Trust Procedures. Ensure that accurate accounting records are maintained and assist with, record keeping, data input, document research and other functions, as needed

  • Assist Compliance Officer in review of internal audit/regulatory findings and assist Trust Management in resolution. Assist with investigative and research efforts.
  • Contribute to and participate in maintaining a strong level of customer service throughout the Trust Company.
  • Provide spreadsheet preparation services as requested by the Division personnel including updates to internal forms and documents in the ‘1 Forms’ folder on time as assigned.
  • Receive guidance, training, and mentoring from professional personnel in planning and carrying out activities and assignments.
  • Contribute to and participate in maintaining a consistent professional culture throughout the organization by promoting compliance with all Trust Company policies and procedures.
  • Periodically aid Division Management in coordinating preparation new account packages for the Fiduciary Committee, and meeting of the Board of Directors.
  • Periodically aid ATFSC Management with the preparation of management reports and special projects while adhering to project deadlines.

Supervisory Responsibility

This position requires no supervision of employees.

Work Environment

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

Physical Demands

The employee is frequently required to: 1) Type or otherwise work with fingers; 2) Talk expressing or exchanging ideas by means of the spoken word. Those activities in which they must convey detailed or important spoken instructions to other workers or clients accurately, loudly, or quickly; 3) Hearing – perceiving the nature of sounds at normal speaking levels with/without correction. Ability to receive detailed information through oral communication and make the discriminations sound. 4) Specific vision abilities required by this job include viewing a computer monitor and extensive reading.

Sedentary work may require occasionally lifting of up to 10 pounds and/or move up to 25 pounds. This work involves sitting most of the time while walking and sitting.

Travel

No travel is required for this position except for training and/or educational purposes.

REQUIRED/ PREFERRED EDUCATION And EXPERIENCE

Must be a current student pursuing a bachelor’s or master’s degree with anticipation of completing said degree within the next 18 months. Preference to those enrolled in a business-related field (accounting, management, finance, marketing, human resources, organizational development or other). Will also consider other majors important to the success of a business such as English, history, political science, engineering, etc. Submission of college transcripts will be required for consideration.
