We are seeking a highly organized and proactive Executive Assistant to support our CEO & Founder at Amivision. In this critical role, you will manage day-to-day administrative tasks, enabling our executives to focus on strategic initiatives. You will be a key point of contact, facilitating communication and ensuring efficient operations within the organization.

Key Responsibilities:

  • Administrative Support: Provide comprehensive administrative support to executives, including managing calendars, scheduling meetings, and handling travel & visa arrangements.
  • Communication Management: Serve as the primary point of contact between executives and internal/external stakeholders, managing correspondence and responding to inquiries promptly.
  • Meeting Coordination: Organize and coordinate meetings, preparing agendas, taking minutes, and ensuring follow-up on action items.
  • Project Assistance: Assist with special projects, research, and preparation of reports and presentations as needed.
  • Document Management: Prepare and edit documents, reports, and presentations, ensuring accuracy and professionalism.
  • Confidentiality: Handle sensitive information with the utmost discretion and confidentiality.
  • Office Management: Oversee office supplies and equipment, ensuring a well-organized and efficient work environment.
  • Event Coordination: Assist in the planning and execution of company events and meetings, both internal and external.

Qualifications:

  • Proven experience as an executive assistant or in a similar administrative role.
  • Exceptional organizational and time-management skills, with the ability to prioritize tasks and meet deadlines.
  • Strong communication skills, both written and verbal, with a professional demeanor.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with collaboration tools.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Attention to detail and strong problem-solving abilities.
  • Discretion and confidentiality in handling sensitive information.
