As a Secretary you will assume the duty of clerical and administrative support for our small e-Commerce company and a related small media company. You will assist executives by supporting them with planning and distributing information. You will be the point of reference for all queries, requests or issues (including emails and calls during work hours from customers) and will be an integral part of the company’s workforce. There will be two separate work locations for this position - a Class A office in Annapolis where you will work at least three days per week and a warehouse office, also in Annapolis, where you will work one to two days per week. This is NOT a remote position, but after your initial 90 days, there will be flexibility to work remotely a few days per month as scheduled in advance.

Responsibilities

  • Answer phone calls and redirect them when necessary
  • Manage the daily/weekly/monthly agenda and arrange new meetings and appointments
  • Prepare and disseminate correspondence, memos and forms
  • File and update contact information of employees, customers, suppliers and external partners
  • Support and facilitate the completion of regular reports
  • Develop and maintain a filing system for all company matters )This is an important task and an initial priority)
  • Check frequently the levels of office supplies and place appropriate orders
  • Make travel arrangements
  • Document expenses and hand in reports
  • Undertake occasional receptionist duties

Skills

  • Proven work experience as a secretary or administrative assistant
  • Familiarity with office organization and optimization techniques
  • High degree of multi-tasking and time management capability
  • Excellent written and verbal communication skills
  • Integrity and professionalism
  • Proficiency in MS Office

Job Type: Full-time

Pay: $18.00 - $25.00 per hour
