Job Summary

Responsible for providing office and clerical services to clients and walk-ins at The Center which include Day Care, Boarding, Grooming, Agility Classes, and Behavior Classes. Responsible for handling front office reception and administration duties including greeting customers, answering phones, handling The Center’s inquiries regarding various programs, record keeping, account maintenance, cash processing, data entry, and word processing. This role will be dedicated to administrative support to all areas within The Center.

Specific Duties

General

  • Provide professional, friendly and quality care to pets and clients, ensuring excellent customer service.
  • Maintain a safe and clean reception area, ensuring all dogs are leashed, and assisting clients with excited or unleashed pets.
  • Handle disgruntled clients in a calm professional manner. When necessary, enlist a manager or director to resolve complaints.
  • Answer all client questions either over the phone, in person, or via email. Provide knowledgeable information as appropriate. Forward messages to the appropriate trainer, individual or department when needed. Refer questions unable to fully or accurately answer to manager or director.
  • Follow established policies and procedures when considering a new client. Determine whether pets should or should not be permitted for any program at The Center after conducting necessary assessments when applicable.
  • Schedule appointments, book/process reservations, and obtain all necessary data concerning pet and owner such as medical and behavioral records.
  • Receive appointments by retrieving client records. Complete required forms, estimates for services, and all necessary information.
  • Assist with pet check ins/ check outs, providing clients with pet notes if applicable, and assist with new appointments if needed.
  • Assure all financial obligations are met by owners. Collect client fees, process credit card transactions, process online reimbursements when needed, and run end of day transactions.
  • Maintain open lines of communication between departments and clients. Ensuring actions support the mission/values of Animal Humane New Mexico.
  • Maintain positive and professional relationships with all our clients.
  • Assist other departments with a variety of tasks as needed.
  • All other duties as may be assigned.

Training Administrative Support

  • Assist in signing clients up for Training classes using the website.
  • Schedule Stay & Train appointments with trainers.
  • Retrieve and respond to all incoming call messages left at the training voice mail box daily (Tues - Sat, 10am – 2pm).
  • Respond to all incoming Training emails.
  • Learn and understand both the Behavior and Agility training curriculum to respond efficiently to client questions about course offerings.
  • Provide and maintain supply of printed materials and brochures as appropriate for The Center’s Training Department needs.

Job Conditions

Indoor / Outdoor facility elements. General activity is office oriented. Some of the work is done standing, walking, and bending. Employee will be exposed to hazardous chemical agent, exposure to unpleasant odor and noises: exposure to bites, scratches and animal waste: possible exposure to viruses. Must be able to work effectively with the public, employees of other departments and other team members. Must be able to lift up to 50 lbs.

JOB REQUIREMENTS

  • Education

High school diploma or equivalent. Any combination of education training and experience equivalent to a degree may be substituted.

  • Required Skills and Abilities

Strong communication and client service skills, ability to greet clients in a professional and friendly manner. Excellent oral and written communication skills (English), bilingual (Spanish) is a plus. Ability to multitask in fast paced environment, problem solve and resolve conflict/miscommunication. Demonstrate ability to work effectively in a team environment and independently. Perform general physical activities requiring bending, standing, stooping; may be required to walk or stand for long periods of time. Ability to lift 50 pounds on occasion unassisted. Regular attendance and timeliness are essential functions of the position.

  • Experience

One year of experience as a receptionist. Typing and computer skills are required.

Pay: From $14.00 per hour
