Responsibilities:
- Oversee the day-to-day operations of a busy office, ensuring smooth and efficient workflow
- Manage the front desk, including greeting customers, scheduling appointments, and answering phone calls
- Maintain and update calendars, ensuring accurate scheduling of appointments and meetings
- Handle phone systems, including routing calls and taking messages
- Organize and maintain physical and electronic files, ensuring proper documentation and record keeping
- Demonstrate excellent phone etiquette when interacting with the public.
- Assist in training and development of office staff to ensure high-quality service delivery
- Provide team management and leadership, fostering a positive work environment
Requirements:
- Proven experience in administrative role
- Strong organizational skills with the ability to multitask and prioritize tasks effectively
- Proficient in using office software applications (e.g., Quickbooks, Microsoft Office Suite)
- Excellent communication skills, both verbal and written
- Ability to maintain confidentiality and handle sensitive information with discretion
- Detail-oriented with a high level of accuracy in data entry and record keeping
- Strong problem-solving skills and ability to make sound decisions
- Ability to work well under pressure in a fast-paced environment.
