Job Summary
The Event Marketing Coordinator will be part of the Sotheby’s International Realty® brand team, reporting to the Director, Global Head of Events. This position will be an integral part of the planning and operational coordination from concept, to on the day management and post event feedback.
You will perform tasks that will include but not be limited to overseeing and coordinating in-person events and conferences, virtual events, managing the event communications calendar and project timeline to ensure the program is executed efficiently, participating in budget management, and much more.
This person must possess excellent written and verbal communication and interpersonal skills. Furthermore, you should have excellent time management skills.
The ideal candidate will reside within a commutable distance to our NJ and NY offices.

Primary Tasks
- Assist in the planning and execution of in person and virtual events from ideation and pre-planning stages through to completion including post-event follow-up
- Assist with preparation of event documents such as program of events (POE) and frequently asked questions (FAQ)
- Provide logistical support for events – this includes coordination of catering, evite/invite management, calendar management, list and RSVP coordination, recaps and follow-up from events, delivery of collateral and communication
- Coordinate and schedule internal and external meetings – at meetings, taking notes and assisting with stakeholder follow-up, as needed
- Create, revise and proofread communications, presentations, nametags, marketing materials and other materials as needed
- Assist in all event-relate collateral for audience acquisition, sponsorship sales, and promotions.
- Produce event checklists & organize walk-throughs with relevant internal and external teams
- Establishing and maintaining a good working relationship with vendors and venues, key stakeholders, sponsors, and guests
- Help finalize and process contracts for approval
- Assist with post-event attendance reporting
- Track registration and hotel reservation reporting for discrepancies
- Assist with weekly registration reporting and data clean up
- Process invoices for payment and set up new vendors, as needed
- Track expenses during planning process, review and process invoices and conduct post-event reconciliation
- Manage upkeep of events contact lists for vendors, suppliers, guests lists, events email inbox, and more
- Perform additional duties as needed.
Minimum Required Skills
- Minimum 3-4 years of direct event management experience (planning and logistics from start to finish)
- Excellent written and oral communication skills
- Experience in a client facing environment. Ability to effectively communicate and engage with partners, senior leadership, sponsors, vendors, and clients as appropriate
- Excellent planning and time management skills along with outstanding organizational skills
- Ability to work independently and collaboratively in a demanding and fast-paced environment
- Strong attention to detail and self-motivated to produce accurate, timely and complete work product
- Ability to multi-task and prioritize to meet varied and tight deadlines
- Strong proactive approach, good problem solving and analytical skills to make sound decisions, provide solutions or recommendations an escalate as appropriate
- Must have a positive can-do attitude and professional demeanor
- Ability to anticipate requests for information essential to meet internal and external client needs appropriate to role, providing exceptional customer service
- Proficiency in Microsoft Office programs and Adobe Suite
- Appreciation and general understanding of the real estate and luxury industries
- Bachelor's degree
- About 10% travel annually, and local travel as needed
- Must be flexible and willing to work additional hours and travel to onsite event locations as needed
