This job will be performed at our main office, located in White River Junction, Vermont, 72 South Main Street.

Work Hours: Monday - Friday, 8 am - 4 pm

The Accounting & Administrative Assistant is a support staff person for Agency Bookkeepers.  Duties and assignments are provided by Agency Bookkeepers in coordination with the overall priorities of each Bookkeeper.  The role also ensures proper workflow of the office.

 

Essential Job Functions:

  • Open, sort, date-stamp, and scan incoming mail daily;
  • Record all received checks in deposit checklist for all agencies, daily.
  • Make electronic deposits for agencies based on weekly deposit schedule. Scan copies of slip & checks to bookkeepers. Maintain back-up files of checks/deposit slips.
  • Manage all outgoing agency mail - invoices, agency packet mailing, 1st/15th & weekly checks, etc. & process using postage machine, daily.
  • AP check review/approvals, daily.
  • Enter/process AP checks if needed
  • Enter/maintain Agency OIG information
  • File SS Annual reports for Rep-payee consumers
  • Agency State Financial Reporting
  • Encounter Data reporting/pulling all invoices
  • All Agency Bank Reconciliations (Op, Rep, Money Mkt, PR, Discretionary, HRA, Etc.)
  • Assist with Credit Card Reconciliation/receipt collection
  • Assist Bookkeepers with Interim & YE Audit Prep
  • Agency Scanning/tagging in Docstar all:
    • AP Checks/backup
    • GL Entries
    • Check Books
    • Audit Books
    • Bank Reconciliations
    • SLP Contracts
    • SLP Background Checks
    • SLP Ins/Misc
    • Agency Contracts/paperwork
  • Consumer/Rep-payee Scanning/Tagging in Docstar all:
    • Attendance Sheets
    • Account Ledgers & Receipts
    • SSA/SSI Notices
    • Rep-payee Reports
  • Assist with Board Meeting preparation and Annual Meetings
  • Other duties as assigned.
