Due to our continued rapid growth, Catena is looking to immediately add a Project Administrator to our team. Our ideal team member is driven, motivated, tech-savvy, detailed, and organized. You will need to have great problem solving and communication skills with an ability to multitask.
Position Summary: Project Administrators are an integral part of Catena that help oversee the full life-cycle of a project. This includes assisting Account Managers with new customer setup, project invoicing, equipment ordering and purchasing, order tracking, and scheduling installations for multiple nationwide commercial kitchen projects.
Essential Job Functions
1. Responsible for submitting invoices monthly for each customer
2. Preparing and submitting purchase orders to equipment manufacturers
3. Accurate and timely updating of project equipment tracking spreadsheets
4. Partner with the Account Managers to provide administrative support for projects
5. Requesting and confirming quotes for equipment and minimizing freight costs at the direction of the Account Manager
6. Oversight and coordination of close out documents for projects
7. Coordination of start up, calibration and training of new equipment after installation
8. Consistent monitoring of emails for urgent requests
Job Requirements
Education: High School Graduate, Bachelor degree preferred.
Experience: Ideally at least 2 years in an administrative or project coordination role. Construction or restaurant equipment experience is highly desirable. Willing to train the right candidate!
Required Skills: Excellent communication and interpersonal skills. Well organized, accurate, and attentive to detail. Strong typing and computer application skills. Tech-savvy and ability to learn new software quickly. Strong problem solving skills. Ability to multi-task in a fast-paced environment. Knowledge of the food service equipment industry. AutoQuotes and NetSuite experience are a plus.
Physical Requirements: Normal working conditions for an office environment.
This position is full-time and eligible for paid holiday, vacation, and sick time, as well as life, medical, dental, and supplemental insurance plans and 401(k) matching.
