Summary: The Data Projects Manager is responsible for managing and maintaining the organizations donor software program (Donor Perfect), while creating the basis for the organizations data-driven donor relations program that appropriately and regularly promotes customized stewardship and acknowledgements with the much-valued supporter base. Working alongside the rest of the Development Team, this position will provide up-to-date analysis on donor trends, campaign performances and fundraising program analysis. The Manager also oversees Arkansas Foodbanks adherence to policies related to stewardship, reporting on receipt of gifts and maintenance of online fundraising forms. Individuals in this position may occasionally work irregular hours as necessary.
- Lead on monthly, year-end and YTD dashboard reports including reports on donor trends, campaign performance and database analysis using data visualization tools to communicate impact and opportunities for growth.
- Work in conjunction with Chief Development Officer (CDO) to proactively manage the donor database, including monitoring of data quality, developing and providing reports from the database and patron recognition.
- Keep reports up to date (Portfolio reports, Gift Status reports, and other reports as required by management). Also lead on Development reports required for Feeding America such as the QPR and NAR report.
- Create and maintain corporate, individual and foundation donor records for MGOs within the database, including but not limited to touchpoints, solicitations, gift entry, etc.
- Lead on donor information integrity including annual database clean up and duplications.
- Create and update quick reference donor software manual and lead on database software training and trouble shooting assistance.
- Assist with response to telephone, postal and email inquiries and concerns in a confidential and efficient manner, offering high level of customer service.
- Maintain all credit card and monthly bank withdrawal information for monthly donors and update as needed.
- Work in conjunction with the Finance Department on monthly reconciliation to ensure department and organization financials records are accurate and consistent.
- Work collaboratively with the Development department in the annual planning process to discuss departmental/program goals; ensures the database provides the required information and is used to its fullest capacity.
- Oversee creation of thank you letters to donors, ensuring they are out within 3 days of entering the donation, both print and online.
- Train data entry staff, volunteers and development team staff on data entry, importing and procedures to ensure accuracy, timeliness and consistency of processes and procedures.
- Manage scheduling and projects of Development team weekly volunteers.
- Represent the Arkansas Foodbank as needed in the community.
- Be available for overtime hours during busy times, including holiday season.
- Carry out general office duties, as they apply to the aforementioned areas of responsibility on an as-needed basis, including photocopying, filing, faxing and preparation and distribution of correspondence.
- Attend required staff meetings, training, and conferences.
- Perform other duties as necessary or assigned.
Supervisory Responsibilities: This position has one direct report, the Gift Entry assistant.
Education and/or Experience: Other job related education and/or experience may be substituted for all or part of these basic requirements upon approval of the Chief Executive Officer of the Arkansas Foodbank.
- Associates Degree
- At least two years Project Management experience
- Familiarity with computer operations and software, including donor database, Microsoft Word, Excel and Access
- At least two years experience utilizing or managing donor or customer database
- Successful background preparing and making presentations
- Or, equivalent combination of education, training and experience.
