ARM Energy’s Legal team is seeking qualified candidates for a Legal Administrative Assistant based out of our Houston office.
Position Overview:
The Legal Administrative Assistant position will report directly to the Contracts Manager and primarily be responsible for administrative support of the Legal, Human Resources, Information Technology, and corporate teams. The candidate for this position will need to possess high energy, punctuality, and initiative to complete projects in a timely manner.
Primary Responsibilities:
- Managing a diverse range of administrative tasks to enhance the overall office effectiveness, including preparing Federal Express and UPS deliveries, copying, filing, and distributing mail and packages and ensuring the same are routed to the appropriate filing location or personnel
- Maintain and update databases and tracking systems
- Typing and filing out routine correspondence and legal documents
- Researching, prioritizing, and following up on incoming issues and action items, including those of a sensitive or confidential nature
- Coordinating schedules to ensure calendars are followed and respected
- Attending meetings and taking and distributing meeting minutes
- Work closely with the corporate team to keep them well informed of upcoming commitments and responsibilities, following up appropriately. Act as a "barometer," having a sense for the issues taking place in the environment and keeping the corporate team updated. Anticipate corporate team’s needs in advance of meetings, conferences, etc.
Education and Experience:
- 2 years or more of hands-on administrative support experience in the legal field
- Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
- Proven ability to handle confidential information with discretion
- Excellent judgment is essential
- Proficient in MS Office, including Word, PowerPoint, Excel
- Strong oral and written communication and interpersonal skills
- Ability to prioritize projects work with minimum supervision
- Works well in a team environment
Required experience:
- Administration or Similar Field: Minimum of 2 years in a legal setting
