The opportunity:
Reporting to the General Manager, the Tenant Service Coordinator is responsible for supporting a Property Management team that works across a diverse and large industrial portfolio. S/he will provide regular support to our tenants in Minnesota and Texas while liaising with property management staff ensuring the efficient and effective functioning of the office. Other duties include:
- Receiving, scanning, coding, and entering invoices into Payscan system;
- Efficiently uploading invoices into Yardi and coding invoices in a timely manner;
- Regularly placing maintenance service requests for our tenants;
- Coordinating and handling all vendor and tenant communication including taking phone calls, complaints, and inquiries in a timely and professional manner;
- Monitoring and tracking all invoices to avoid the loss of vendors' invoices;
- Mailing out cheques;
- Regularly ensuring that the certificates of insurance are up to date;
- Creating service agreements, and following up on any outstanding service agreements;
- Tracking HVAC repairs by regularly communicating with vendors and tenants;
- Sending inspection notices and rent statements to tenants as at when due;
- Uploading rent roll reports each month;
- Creating the accruals & final monthly report documents for management on a monthly basis;
- Preparing the construction management fee report for management, when required; and
- Tracking and coordination of fire life system inspections for tenants, and filing FLS reports in a timely manner.
Your technical qualifications:
- 2 years’ in real estate and customer service, preferred;
- High School diploma required; post-secondary education preferred;
- Excellent communication and interpersonal skills;
- Experience with industry software (i.e. Yardi) an asset;
- Proficiency in Microsoft Word, Excel, and data entry; and
- Must be able to multitask and pay great attention to detail.
