Job Description: Job Summary: This job has two primary responsibilities, which are to provide HR administrative assistance to employees and HR Team, and to support CEO and other Executives. Duties of HR Assistant include but are not limited to, providing HR administrative assistance to employees and HR team, especially for Asahi Kasei expatriates on-boarding, off boarding, payroll, and immigration matters, by ensuring compliance and, assisting with HR’s day to day operations. Responsibilities of Executive Assistant include but are not limited to; providing administrative support to the executives, coordinate the executives’ travel arrangements. Special Note: First few months (until Sep. 2022), this position will work closely with general affair department, and may support non-HR related matters to learn the company as cross-trainings. Essential Duties and Responsibilities: HR Roles Assist HR Director and HR Generalist by operating day to day HR services (mainly AK expatriates Payroll, Benefits, on-boarding, off-boarding.) to ensure compliances of US labor laws and internal Asahi Kasei America guidelines and policies. Scope of work –HR administration area including but not limited to. 1)Support for New local hire/New Expatriate Creating Employee Folders and Filing and organizing all necessary HR documents Collect Expatriates documents and send to stakeholders (HR Generalist, payroll, HRIS and benefit team) Tracking all company policies & Agreements Order all office supplies to Admin Cell Phone, Business Card, PC, Email address, Credit Card, etc.… Support expatriates working VISA applications Welcome new expatriates to the company by conducting orientation. 2) Support for Employees/Expats exit Move and organize employees’ folders and documents accordingly Keep tracking Security Deposit of expatriates Keep tracking all personal liability Insurance Refund for expatriates 3) Support for Expense/Income Reports Take care of all HR related Invoices and creating payment vouchers Creating income voucher for check refund from expatriates 4) Support for Payroll process Approval all fringe benefit requests from Expatriates, by consulting with HR Generalist for irregular cases Communicate with expatriates’ payroll vendors Generate expatriates’ payroll data 5) Support for updating HR documents and routine HR tasks Proof Read/ edit HR related manuals occasionally Correspondences for inquiries from any employees Provide any administrative assistance to HR Director and HR Generalist as requested 6) Support for incoming & outgoing mails Forward Returned expat letters to Japan 7) Support for US expatriates Tax Return Process Assist administrative tasks based on HR Generalist orders Communicate with KPMG & HR Generalist Create Income Voucher for Refund Check and submit Payment voucher for additional tax dues to accounting. Tax Return Document Mailing (certified mail) Executive Assistant roles: Manage and maintain CEO’s calendar including scheduling appointments, internal/external meetings, and conference calls. Coordinate CEO’s travel itineraries, flights, hotel accommodation, and other travel needs. Support other Executives on other projects as needed. Education and/or Experience: Minimum: High School Diploma and 1-3 years appropriate business experiences Preferred: Associates Degree and 2-5 years business experiences Foreign Assignees’ support/management experience, including expatriates’ payroll, compensation, and taxation, as well as working visa supports. Office administrative works, executive assistant experiences are plus Knowledge, Skills and Abilities: Business level Japanese and English: Excellent communication skills (verbal and written) required, including ability to provide briefings and training to diverse audience. Strong interpersonal and communication skills, understanding for cross-cultural work environment Basic knowledge of Human Resources practices in the USA and Japan. Knowledge of Local, State and Federal governing labor and benefits laws and Japanese labor law are preferable. Excellent multi-tasking skills and time management abilities Experience generating reports and tracking/analyzing large amounts of data. Experience with MS Office (Word, Excel, Outlook, PowerPoint, Outlook) needed. Must be results-oriented with a strong customer service orientation and ability to operate at all levels of an organization.
