Under the direction of the Aztec Recreation Operations and Events Manager, the Operations Supervisor assists with the supervision of the Aztec Recreation facility operations. The Operations Supervisor ensures a safe, enjoyable and professional operation of the recreation facilities by supporting and enforcing the rules and regulations. The Supervisor is responsible for various aspects of facility operations including daily operations, risk management, policies and procedures, scheduling and event planning, facility access software, facility and equipment inspections, development and implementation of safety training, and assessment.

ESSENTIAL DUTIES & RESPONSIBILITIES

Primary Functions

  • Assists with the daily facility supervision of Aztec Recreation facilities
  • Coordinates recreation facilities reservations scheduling with EMS and Musco systems
  • Ensures fitness classes, Sport Club activities, Intramural Sports, and/or other programs/events are scheduled so they do not overlap or conflict with outside groups
  • Coordinates all special events for recreation facilities, including scheduling reservations, collecting contracts, payments and required insurance verification, scheduling event staffing, managing event operations and supervising large events
  • Supervises operations and event staff and assists with supervision of member services staff
  • Assists with development of recreation facility rental policies and rates
  • Coordinates, posts and maintains web information and both print and digital signage for Aztec Recreation facility hours, closures and rules
  • Assists with coordination of Fusion facility access software management
  • Assists with the ongoing evaluation of the Aztec Recreation facilities, including completing participant evaluations, focus groups, informal discussions and written program surveys
  • Completes regular facility, safety and fitness equipment inspections
  • Assists with fitness equipment purchases and equipment warranty management
  • Coordinates with building services staff for reported facilities and equipment repairs
  • Assists with scheduling and on site supervision for external vendors
  • Assists with communication with janitorial services and completes inspections to ensure scope of work is completed as scheduled
  • Assists with creation and implementation of student development and leadership training opportunities for Aztec Recreation part-time staff
  • Conducts safety and risk management training for staff
  • Coordinates CPR/AED and First Aid training for staff
  • Assists with annual inventory review and fixed asset documentation updates
  • Assists with daily incident report review and conduct investigations
  • Assists with the development, planning, coordination and management of informal recreation opportunities for Aztec Recreation participants
  • Leads operations for large annual department promotional events (ARC Til Dark, Live Well Late Night, New Student Orientations, etc.) and other special events

Administration

  • Ensures all deadlines are met and procedures are followed
  • Ensures daily office tasks are completed timely and according to established guidelines
  • Assists with facility scheduling, events and related communication
  • Assists with department key distribution, security and storage
  • Ensures appropriate on-campus drivers’ list is complete before issuing keys to drive AR electric cart
  • Schedules, teaches and coordinates department CPR and First Aid classes
  • Reviews, approves and files all department injury and incident reports; follows up as needed with participants and A.S. Risk Management
  • Coordinates department software (Fusion and Connect2) and hardware (e.g. ipads, access gates, etc.) implementation, security, use and training
  • Regularly reviews Aztec Recreation Member Handbook policies and provides recommendations for needed updates
  • Ensures facilities and handbook content on recreation website is current and accurate
  • In coordination with Building Services staff, ensures regular facility walk-throughs and inspections are conducted to ensure maintenance of the facility is being performed in a proper and timely manner
  • Coordinates work order requests submitted through Member Services; communicates and follows up with Building Services, monitors the progress of work as required and ensures high priority and/or safety items are completed to a high standard
  • Ensures all equipment, including safety equipment, is purchased, maintained, repaired, stored, and inventoried in accordance to appropriate standards. Ensures equipment is suitable to meet the needs of participants regardless of skill level, age or ability.
  • Maintains knowledge and a thorough understanding of related governmental health and safety codes for the operations and maintenance of facility
  • Maintains knowledge of changes and updates in the American with Disabilities Act (ADA) pertaining to facilities

Budget

  • Assists with development and management annual facility operations budget
  • Monitors budget regularly, ensures year-end results meet approved budget and adheres to budget deadlines and guidelines
  • Reviews budget activity reports regularly and submits corrections to accounting department
  • Ensures all facility reservation revenue is collected
  • Implements steps to adjust expenditures to compensate for revenue changes
  • Processes A.S. Procurement Card transactions and invoice payments in accordance with accounting requirements and deadlines
  • Maintains program inventory, regularly evaluates equipment safety, repairs equipment and purchases needed equipment

Customer Service and Collaboration

  • Establishes and maintains working relationships with various University departments, faculty, and staff (e.g. Conference Services, University Police Department, Parking and Transportation, Athletics, University Facilities, Exercise & Nutritional Sciences, American Language Institute, Residential Education, Student Affairs, Alumni, etc.) and community partners
  • Assists with maintaining up-to-date information on digital signage system, bulletin boards and display cases in all facilities to ensure they remain up-to-date with pertinent information and news
  • Participates in tours, special events and promotional efforts (i.e. ARC After Dark, bi-annual Aztec Adventures Sign-Up Night & Used Equipment Sale, welcome week and outreach visits from off-campus sources, SDSU Athletic Camps) as needed. Follow up to ensure participant needs are being met.
  • Ensures tours of the Aztec Recreation facilities are informational and attract new students and members
  • Ensures A.S. customer service guidelines are met by all staff in department
  • Ensures department guidelines are established and met by all staff in department

Safety

  • Ensures all operations are conducted with safety of staff and customers as first priority, and in accordance with the Injury and Illness Prevention Plan and other safety policies
  • Conducts regular facility inspections of equipment and area of supervision. Ensures all areas and equipment are clean, in good repair, and in compliance with all safety codes.
  • Completes purchase of safety supplies for all Aztec Recreation facilities
  • Ensures all employees are provided safety training and attend safety meetings regularly. Maintains attendance records of safety meetings.
  • Reviews IPP regularly and ensures all corporate and department safety plans are conducted and up to date
  • Complies with departmental code of safe practices
  • Implements risk management/safety plan, including regular review of accident reports. Modify activities where possible to reduce accidents.
  • Ensures staff possesses certifications required within specific job descriptions
  • Collaborates with fitness staff in proper instruction and use of weight and cardio equipment
  • Coordinates and teaches CPR/AED and First Aid classes
  • Assists with conduct and member policy violation investigations

Staff Management

  • Ensures all hiring/termination is conducted in accordance with A.S. policy and timelines
  • Maintains appropriate staffing levels to facilitate satisfactory operation of all areas of supervision
  • Ensures each employee is given written information about his or her job responsibilities, procedures and policies
  • Ensures each employee receives an orientation and introduction to the corporation, facility, Aztec Recreation department and personnel, including the specific standards that apply to each area
  • Describes each job’s relationship to the mission of the Associated Students and its uniqueness as a student-directed corporation
  • Directs work courteously and gives clear, specific and realistic goals. Includes methods of accomplishment and accountability as appropriate
  • When assigning tasks, provides information, training, materials and support as appropriate
  • Assesses and monitors each employee’s knowledge, understanding, ability, readiness and willingness to perform each assignment, then makes appropriate response
  • Holds effective staff meetings frequently and regularly provide information regarding policy changes, special events and all other pertinent topics. Keeps employees informed of daily happenings and messages that pertain to their work.
  • Makes corrections positively and promptly and includes specific suggestions for change as soon after the event as possible, considering privacy factors
  • Corrects individual problems with staff they supervise

Minimum Requirements


Minimum & Preferred Requirements

Education:

  • Bachelor's Degree required, preferably in Physical Education, Recreation, Kinesiology/Exercise Science, Health or a related field
  • Master’s Degree preferred

Experience:

  • Must have at least one year of direct supervisory experience with facilities in a collegiate/community fitness, recreation or health club setting

Licenses & Certification:

  • American Red Cross AED, CPR and First-Aid certification required (within the first 30 days of hire)
  • American Red Cross AED, CPR and First-Aid instructor certification preferred

Trainings:

  • Must complete Gender Awareness, Computer Security, and Sexual Harassment Prevention for Supervisors trainings within 30 days of hire


Must comply with SDSU COVID-19 vaccine policies and procedures.

  • Must have strong English language skills and the ability to read, write and verbally communicate at a level appropriate to the duties of the position
  • Ability to operate personal computer, proficiency with Microsoft Office Suite (i.e. Word, Excel, PowerPoint) and ability to learn and utilize new software programs
  • Thorough knowledge of methods, tools and equipment necessary for the repair, alteration, maintenance and operation of buildings and facilities
  • Working knowledge of building, fire, OSHA and life safety codes and regulations
  • Ability to read, write and work from sometimes-complex blueprints, diagrams and operation and equipment manuals
  • Well organized, ability to effectively multi-task, ability to prioritize work, problem solve, make decisions and meet scheduled deadlines under pressure
  • Must be self-motivated, self-starter and perform with minimal direction and supervision
  • Excellent interpersonal skills; ability to relate and communicate effectively with a diverse population of students, staff, faculty, colleagues and guests

COMPENSATION

Starting range: $21.15 - $22.59 per hour


SCHEDULE & WORKING CONDITIONS

This is a full-time position. Flexibility and willingness to work long and irregular hours and days, including evenings, weekends and holidays as needed by event schedule.
