Description:
Reception Support:
• Welcome visitors and direct to appropriate staff or meeting room
• Order/manage front-desk supplies
• Ensure tidy and presentable office space
• Accept and deliver mail/packages
• Process outgoing mail/packages
• Stock beverage/snack centers
• Maintain copy machines (toner paper)
• Maintain coffee & water machines
• Maintain project spreadsheets
Administrative / Operational Support:
• Coordinate travel
• Maintain calendars, including the scheduling of meetings
• Prepare expense reports
• Enter purchase requests
• Assist with communications and presentations
• Review contracts / documents
Office Support:
• Prepare conference rooms for meetings to include AV needs
• Coordinate internal and external meetings to include venue selection, scheduling, and catering
• Facility coordination of the Innovation Lab to include parking, conference room calendar management, and other facility related items
Experience:
• 1-3 years receptionist/administrative support or related experience in an office environment.
Specialized Skills:
• Professional attitude and appearance
• Positive personality
• Ability to create organized filing system
• Work independently and organize and prioritize multiple projects
• Detail oriented and accurate
• Excellent verbal and interpersonal skills
• Experience with MS Office Applications (Outlook, Word, Excel, PowerPoint)
• Adapts to new technology, keeps abreast of changes, and learns new programs quickly
• Dependable and ability to exercise good judgment
• Well-developed skills in organizing and maintaining a professional work area
