What are the responsibilities and job description for the Front Desk Coordinator position at Astronics?
Summary
To answer incoming calls transferring individuals to appropriate personnel while greeting all visitors. This would include maintaining a pleasant demeanor on all calls directed with internal and external visitors that they interact with on any given day.
Essential duties and responsibilities

- Answer and direct all incoming calls to the appropriate personnel, seeking assistance for difficult issues
- Distributes all voicemails left for the front desk during off business hours
- Greets visitors and directs them to the appropriate personnel
- Sort and distribute mail
- Manages mail machine postage, training, and usage
- Organizes and manages all mailbox personnel slots
- Assist in customer invoicing and invoicing data files
- Handles all catering requests for external customer visits and requests from executive staff
- Set up and resets of all conference rooms located in the front portion of the office.
- Assist meeting organizers with meeting amenities when necessary
- Coordinates kitchenette supplies and maintains corporate kitchenette stock in parallel with W. B. Mason personnel to include stocking of refrigerator with beverages and putting away dishes from dishwasher.
- Manage Certificates of Insurance for external contractors to come on site to perform work.
- Proofing Sales Orders
- Managing LSINYSales Inbox
- Checking for “Off Fridays and Holiday” booking dates
- Clerical support of Customer Service/Sales Department functions
- Completes other administrative tasks that are asked of supervisor
- Watering all plants located in the front lobby
- Scanning of Production work orders when time allows.
- Miscellaneous copying/scanning assignments when able
Education and Experience
high school diploma or equivalent (GED)
3-5 years pf administrative experience or 3 years’ experience in the administrative field
Work Authorization/Security Clearance
Due to federal contract obligations, must be a US Citizen or Permanent Resident
Supervisory Responsibilities
This position has no supervisory responsibilities, however as successful associates train their peers via on the job/peer to peer training. Excellent and participative communication skills are rewarded at LSI.

This position has no travel requirements.
Skills
Language Skills
Ability to read, write and comprehend simple instructions, related to all work instructions as well as emails. The individual speaks clearly and persuasively in positive or negative situations. The individual edits work for spelling and grammar presents numerical data effectively and is able to read and interpret written information.
Mathematical Skills
Possess the ability to add, subtract, multiply and divide in all units of measurement, common fractions, and decimals.
Software Skills
Familiarity with Microsoft Teams for phone calls and internal communication. Has hand on experience with Microsoft Office suite to include Outlook, Excel, Word & PowerPoint. Bonus: MRP system experience.
Reasoning Ability
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Possess the ability to deal with problems involving several variables in standardized situations. The individual also demonstrates accuracy and thoroughness and monitors own work to ensure accuracy. Follows safety and security procedures and uses equipment and materials properly.

The individual maintains confidentiality; remains open to other ideas and exhibit a willingness to try new things. The individual prioritizes and plans work activities and uses time efficiently. Individual is able to adapt to change in the work environment to manage competing demands and is dependable at all times by being to work on time and following instructions set forth by management.
Physical Demands *
While performing the duties of this job the employee is occasionally required to stand, walk, or sit for long periods of time. The employee must occasionally lift or move up to 25 pounds. Specific vision requirements of this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.
