Job Description
Under the Events Coordinator Sr direction, the Events Coordinator is primarily responsible for third-party requests to lease venue space at the Beus Center for Law and Society. This position will also support a broad range of programming efforts for prospective and current students, staff, faculty, and law affiliates through the coordination of event logistics and catering needs for the Sandra Day O’Connor College of Law.

Essential Duties
- Coordinate and provide event assistance for external and internal events, such as lectures, luncheons, conferences, and other various faculty and staff functions as assigned.
- Coordinate with clients to determine technical and/or other special requirements needed for events.
- Create and adhere to event timelines and budgets and coordinate requests for facilities, venues, catering, audio/visual, etc.
- Attend, set-up, monitor and act as internal and external contact person for events and programs.
- Work with the College of Law Technology department on coordination, assistance, setup, management, and strike of various audio/visual aspects of events.
- Serve as the primary event contact for outside groups hosting events as the Beus Center for Law and Society, providing guidance and assistance with setup guidelines, catering and audio/visual support.
- Work with College of Law Marketing & Communication team on event communications.
- Establish and maintain strong working relationships with campus and community partners.
- Assist Assistant Director of Events with large-scale, high-profile events, such as the O’Connor Justice Prize Dinner and Graduation.
- Handle all reservations, set-ups, catering orders, and p-card packets for the Leadership Suite which includes Faculty Colloquiums, Faculty and Staff Meetings, Trainings, Faculty Candidate Interviews, and Strategic Working Group Meetings
- Provide support for Career Services and Student Success events through event set-ups, catering orders, registration links, and other requests as needed.
- Maintain the Beus Center for Law and Society Website.
- Create and maintain event statistics and revenue reports for all external events.
- Work occasional weekends and evenings, as needed.
- Physical presence at the workplace or the college is an essential function or requirement of the job.
- Assume other roles and responsibilities, as needed, to achieve the strategic goals and priorities of the College of Law and ASU
Minimum Qualifications
Associate's degree in Public Administration, Business Administration or a related field and two years of event planning and coordinating experience; OR,Four years of public relations and event planning/coordinating experience; OR, Any equivalent combination of experience and/or education from which comparable knowledge, skills, and abilities have been achieved.
Desired Qualifications
- Evidence of at least two years of experience in event planning, programming or coordinating
- Demonstrated knowledge of basic audio/visual equipment elements, microphones, projectors and necessary connections
- Experience adapting to change
- Experience working in a higher education environment is preferred
- Evidence of effective written and verbal communication skills
- Experience with strong customer service role and positive client relationship skills
- Experience in being self-directed and taking the initiative
- Experience in managing and prioritizing multiple tasks and deadlines
- Experience in work that required being proactive, responsive, professional, and punctual
- Evidence of the ability to be flexible and work schedules that go beyond Monday – Friday, 8:00am-5:00pm
- Experience in using Microsoft Office software and event management software
Working Environment
- Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding, and manipulating a computer mouse.
- Required to stand for varying lengths of time and walk moderate distances to perform work.
- Frequent bending, reaching, lifting, pushing and pulling up to 25 pounds.
- Regular activities require ability to quickly change priorities which may include and/or are subject to resolution of conflicts.
- Ability to clearly communicate to perform essential functions.
- Use standard office equipment including, but not limited to: computer workstation/laptop (keyboard, monitor and mouse), printer, fax, calculator, copier, telephone and associated computer/technology peripherals.
