POSITION SUMMARY:
We are currently recruiting for a Fleet Administrator. This full-time position pays $25.00 per hour and is located in Richmond, VA.
ESSENTIAL DUTIES AND RESPONSIBILITIES:

· Responds to transportation service inquires and requests for information.
· Establishes and maintains state owned vehicle records and reports by posting vehicle additions, transfers, and deletions; driver information/changes; fuel card issuance; monthly odometer readings; and repair and service expenses to VDH and DGS databases.
· Coordinates the acquisition and disposal of vehicles.
· Serves as facilitator and member of VDH's Accident Prevention Committee.
· Manages Voyager card program, issuance, replacement, and related reporting.
· Monitors the VMCC maintenance program through DGS.
· Fleet files, records and driver information is continually up-to-date and accurate.
· Vehicle requests/inquiries/notices are completed in a timely and accurate manner.
· Communication with other administrations and agencies reflects good customer service techniques.
· Determines need and recommends acquisition/disposal of vehicles in compliance with DGS rules, regulations, and statutes.
· All users of state vehicles are made aware of the rules and regulations concerning the use of state vehicles in an accurate, clear, and timely manner.
· Monthly and other periodic reports are prepared in an accurate, clear, and timely manner and forwarded to other administrations and state agencies as required.
· VDH Directors are kept apprised of the state of their respective VDH-state owned and leased vehicle fleets.
· A cooperative relationship is established and maintained with other state agency officials ensuring the agency’s vehicle needs are clearly delineated and usage of same is following their statutes, rules, and regulations.
· Logistics, communication, and reports for VDH’s Accident Prevention Committee are efficiently and promptly managed.
· Research and promote safe driving habits among VDH employees.
· Assigns vehicles to requesters and informs them of rules and regulations.
· Tracks preventative maintenance, warranty recall and registration renewal notices and ensures necessary actions are taken.
· Manages the Agency’s vehicle reservation system, as well as all of the vehicles, keys, and voyager cars to ensure all are securely maintained. Responsible for filling out the monthly Voyager Card Exception Report for all Central Fleet vehicles.
· Responsible for allocating costs and reconciling DGS and Mansfield bills for fleet services.
· Occasionally performs light maintenance such as replacing wiper blades, refilling wiper fluid and filling air in tires.
· Preventative maintenance, warranty recalls, and registration renewals are managed in a proactive and accurate manner.
· Places vehicle reservations within 24 hours of request.
· Participate in developing department goals, objectives, and systems.
· Participate in staff meetings and attend other meetings and seminars as assigned.
· Recommend new approaches, polices, and procedures, to continually improve efficiency of the department and services performed.
· Efficiently performs duties as assigned and works as a team within division and company.
· Perform other related duties as assigned.

REQUIRED SKILLS AND ABILITIES:
· Excellent verbal, written, and listening communication skills within the English language.

· Proficient with Microsoft Office Suite or related software.
EDUCATION AND EXPERIENCE:
· Associates degree, preferred.
· 2 years experience working with Microsoft Excel.
PHYSICAL REQUIREMENTS:
· Prolonged periods of sitting at a desk and working on a computer.
· Must be able to lift and move up to 25 – 50 pounds at times.
· Standard hours of work Monday through Friday, 8:00 am – 5:00 pm, however evening and weekend hours may be required.
· Travel may be required up to 10% of the time.
