POSITION SUMMARY

The Business Assistant (Facilities) assists with the accounting needs of the Facilities Services Department by accurately and timely performing duties in relationship to the accounting process. Ensuring that all transactions are appropriately supported, are in accordance with policies and procedures and are recorded in accordance with acceptable accounting standards.

ESSENTIAL DUTIES

  • Process invoice payments, contract information, requisitions, and any other information associated with the department's Special Purpose Local Option Sales Tax (SPLOST business and accounting operations.
  • Assist the Facilities Finance Manager required to ensure that best practices are utilized at all times.
  • Create, modify, and maintain reports, spreadsheets, and presentations for the department.
  • All documentation should be electronic & maintained where easily retrievable.
  • Maintain invoices, contracts, and purchase orders for the department as necessary to ensure accuracy.
  • All reports and tracking mechanisms must be electronic and maintained where easily retrievable.
  • Research and resolve discrepancies regarding payment of accounts, purchase orders, requisitions.
  • Provide timely actions and communications of any discrepancies existing or resolutions required.
  • Acts as a liaison with Facilities Services Directors, Accounts payable, Purchasing, Finance, Personnel, Schools, and vendors as required.
  • Performs other duties as assigned by appropriate administrator.
  • Required to attend scheduled shift during regular business hours as mandated.
  • Required to have prompt, regular attendance in-person or virtually and be available to work on-site, in-person during regular business hours, and as needed.
  • Performs other duties as assigned by an appropriate administrator or their representative.

KNOWLEDGE, SKILLS, AND ABILLITIES

  • General knowledge of Accounting Principles, Accounts Payable,
  • Knowledge of Microsoft Excel & Word, Outlook
  • Data Entry
  • Knowledge of ERP systems (Lawson).
  • Great attention yo detail and organizational skills.
  • Excellent oral and written communication skills.

MINIMUM REQUIREMENTS

EDUCATION:

  • Associates degree in Accounting/Business Administration required.

CERTIFICATION/LICENSE:

  • N/A.

WORK EXPEREINCE:

  • 2 years experience performing accounting functions.

Strength: Ability to lift, push, pull and/or carry objects which weigh as much as 15 or more pounds on a frequent basis.

Environmental Requirements: Ability to encounter constant work interruptions; work cooperatively with others; work independently; work indoors.

Mental Requirements: Ability to read, write, understand, interpret and apply information at a moderately complex level essential for successful job performance; math skills at a high school proficiency level; judgement and the ability to process information quickly; learn quickly and follow verbal procedures and standards; give verbal instruction; rank tasks in order of importance; copy, compare, compile and coordinate information and records. Understand how to manage stress

Additional Work Conditions & Physical Abilities: Will require travel to multiple sites.

Salary Grade: 119

Pay: $40,313.00 - $60,267.00 per year
