Audubon is currently seeking a Project Administrator I to join our team in our Houston, TX Office. The Project Administrator I will be a pivotal figure in ensuring the smooth operation of our projects and office functions. This role involves handling a wide range of administrative, executive and project support-related tasks with the ability to work independently and as part of a team. The position requires versatility, excellent interpersonal skills, and the ability to handle a diverse workload.
PRIMARY RESPONSIBILITIES:
- Manage scheduling for executives, including meetings, appointments, and travel arrangements.
- Organize and schedule virtual and in-person meetings while ensuring the technology setup for remote participation is seamless.
- Develop and maintain a filing system, both electronic and physical.
- Provide general support to visitors.
- Act as a point of contact for internal and external clients.
- Liaise with Project Coordinator(s) to handle requests and queries.
- Support team by performing tasks related to organization and strong communication.
- Maintain office supplies inventory by checking stock and ordering new supplies as needed.
- Coordinate project activities, resources, equipment, and information.
- Create and maintain comprehensive project documentation, plans, and regularly reports.
- Adapt to changing in-office and remote work requirements as needed to support team efficiency.
EXPERIENCE AND SKILL REQUIREMENTS:
- Proven experience as a Project Administrator, Office Administrator, or similar role.
- Knowledge of office management systems and procedures.
- Working knowledge of office equipment, like printers and fax machines.
- Proficiency in MS Office (MS Excel and MS PowerPoint, in particular), with aptitude to learn new software and systems.
- Excellent time management skills, organizational skills and the ability to prioritize work and multi-task.
- Attention to detail and problem-solving skills.
- Excellent written and verbal communication skills.
- Strong client-facing and teamwork skills.
